Job Description: 

Job Summary

•    Supply Chain Management (SCM) is responsible for the overall commercial and risk management with the bank’s external third-party suppliers. To meet increasing business demands, the SCM team is putting in place a new capability to support Contract Managers/Owners meet their obligations with regards to the management of the third-party contracts that they are accountable for.
•    The Generalist, Contract Management Services (CMS) supports the end-to-end lifecycle of contracts, ensuring accuracy, compliance, and timely execution. He/she is responsible for delivering Contract Management Services that provide generic support to Contract Managers/Owners of assigned contracts within respective categories or domains.
•    This role serves as the primary resource to provide triage support services to incoming requests, tasks or actions to ensure that Contract Managers/Owners receive the necessary guidance and support to meet their contract management and ownership obligations throughout the entire contract lifecycle.
•    The Generalist, CMS will work closely with the Specialist, Manager and other colleagues in CMS team, SCM Category Management stakeholders, SCM Category Leads/Managers, SCM Supplier Managers, SCM Cluster Leads and Contract Managers/Owners to drive continuous improvement.

o    Support initiatives and identify use cases to optimise process and cost efficiency (e.g. Automation, AI, Process Simplification)
o    Drive initiatives to optimize value creation through effective contract management.
o    Monitor and improve end user experience.
o    Document solutions and contribute to knowledge base to improve user experience.

Key Responsibilities

Transition from Day 1 into Day 2
•    Support the Contract Manager/Owner through Contract Owner Training, Risk assessments are completed, and contracts documents are in order.
•    Ensure Contract Compliance has been completed to enable the contracts to be operational.
Key Contracts Obligations
•    Ensure that the key contract obligations are registered in the key obligations log; and
•    Work with the Contract Manager to attest that the contract obligations are known and understood.
•    Provide support for catalogue creation and maintenance
Spend Forecasting
•    Ensure that the commercial obligations that relate to spend are recorded and logged with finance for forecasting purposes
Changes and Amendments
•    Work with the Contract Managers/Owners to manage contracts changes, amendments, and updates.
•    Assist Contract Managers/Owners in system meta data changes, include Contract Manager/Ownership changes
•    Support regulatory driven contract change programs
Third Paty Risk Management (TPRM)
•    Support Contract Managers/Owners with Day 2 period risk assessments as required by TPRM standards.
•    Support the resolution of risk exceptions
Contract Lifecycle Management
•    Maintain a flight plan of key contract dates (a flight plan), that includes renewal notice periods, expiry dates and
•    Provide exit management support to Contract Managers/Owners, including working with Legal for termination notices.
Data Quality
•    Be responsible for data quality for any information produced and maintained within the responsibilities performed under assigned CMS categories or contracts.

Risk Management
•    Ensure CMS activities comply with internal policies, industry standards, and regulatory requirements.
•    Raise identified potential risks in contracts and work with applicable stake holders to execute the action plan to mitigate them.
•    Work with applicable stake holders to manage and resolve any disputes or issues that arise during the sourcing to contract lifecycle.
•    Generate reports and summaries on contract status, compliance, performance, and key metrics
Training and Development
•    Take responsibility for self-development, and work line management to agree and execute on personal skills and development plans.

Qualifications

•    Degree in Business Administration, Supply Chain Management, Contract Law, or a related field. 
•    1-3 years of experience in procurement and/or contract management, business analyst and/or supplier management
•    Basic knowledge of contract law, procurement services and operations, and supplier management best practices.
•    Attention to detail and fast learner who can work in a dynamic and evolving environment.
•    Good communication and interpersonal skills.
•    Strong analytical and problem-solving abilities.
•    Proficiency in procurement and contract management software and categories such as Technology, Banking Operations, Marketing, Financial Services, Real Estate, Travel, Professional Services, HR Services,
