Job Description: 

Job Summary

We are seeking a highly organized and proactive Team Administrator to support our team by providing executive support, managing complex calendars across multiple time zones, and acting as a gatekeeper for meeting requests. The ideal candidate will handle a variety of administrative tasks, including coordinating IT assets, managing onboarding and offboarding processes, and ensuring adherence to information security and compliance policies. This role requires excellent communication skills, attention to detail, and the ability to work independently and collaboratively with other team administrators across functions and geographies. The Team Administrator will play a crucial role in optimizing executive time, enhancing team efficiency, and maintaining a well-organized work environment.

Strategy
•    Identify recurring administrative pain points and propose improvements.
•    Develop and standardize templates, checklists, and trackers for team administration to enhance efficiency.
•    Support preparation and follow-up of senior meetings to ensure strategic alignment and execution.

Business
•    Travel & Logistics (Limited Scope) – Manage travel and expense coordination for the leader and selected team members and for the visitors.
•    Draft and manage professional communication on behalf of the leader.
•    Act as the coordination point between the team and shared services (IT, facilities, security) to ensure smooth business operations.
•    Escalate delays or issues proactively to avoid business disruption.

Key Responsibilities

Processes
•    Provide Executive Support by managing complex calendars across time zones.
•    Act as gatekeeper for meeting requests and proactively resolve meeting conflicts and optimize executive time.
•    Manage team administration responsibilities by acting as primary contact for laptops, headsets, and other IT assets for the team.
•    Coordinate floor access, system access, and badge enablement for new joiners, movers, and leavers.
•    Maintain joiner–mover–leaver (JML) checklists and trackers.
•    Coordinate end-to-end onboarding logistics for new joiners and support offboarding by coordinating asset recovery and access removal.

People & Talent
•    Work closely with other team administrators across functions and geographies.
•    Facilitate effective communication and collaboration within the team to foster a positive work environment.

Risk Management
•    Complete Mandatory trainings within stipulated times.
•    Handle sensitive information with discretion and integrity.
•    Ensure adherence to information security, audit, and asset management policies.
•    Maintain accurate records for audit and compliance purposes.

Governance
•    Ensure the work done meets the departmental guidelines and standards. 
•    Provide timely and high-quality responses to the manager for any request.

•    Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. •    Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.

Qualifications

Education    
•    Bachelor's degree in Business Administration, Management, or a related field.
•    Diploma or certification in Office Management or Administrative Services (Preferred but not mandatory)
Training     
•    Expertise in Microsoft Office Suite
Languages     
•    Proficiency in English
•    Software Skills: Python, R 
•    Strong communication skills
