Job Description: 

Job Summary

The role is positioned within fiduciary and fund services operations, where you will support compliance checks to ensure adherence to regulatory requirements, coordinate with relevant stakeholders to perform root‑cause analysis and define corrective/remedial actions and prepare regular compliance monitoring reports, dashboards, and key risk indicators for senior management & committees. This position supports 10 regions, including Hong Kong, Malaysia, Singapore, and Vietnam. The role is based in Malaysia and reports to the functional head of fund compliance in Malaysia.

Key Responsibilities

  • Conduct daily, weekly, and periodic compliance checks to ensure adherence to regulatory requirements (e.g. investment and borrowing limits, liquidity and leverage rules, concentration limits, reporting timelines).
  • Monitor compliance with fund prospectuses, offering documents, investment management agreements, and side letters.
  • Perform pre‑ and post‑trade investment guideline monitoring (e.g. issuer limits, sector/industry caps, counterparty risk, ESG restrictions).
  • Post-trade alerts investigation in Charles River/Excel, address escalation and provide resolution
  • Preparation of Fund Performance Measurement Reports using Statpro (i.e. Allocation, Risk Analysis, Factsheets)
  • Oversight of testing of Charles River and Statpro Revolution
  • Identify, investigate, and document compliance breaches and rule exceptions.
  • Coordinate with relevant stakeholders to perform root‑cause analysis and define corrective/remedial actions.
  • Escalate material issues to management, fund boards, and, where required, regulators in line with escalation procedures.
  • Understand and have responsibility for the risks associated with the Fiduciary Services global team
  • Contribute to the design, implementation, and ongoing enhancement of the compliance monitoring framework, including automated rules and manual checks.
  • Assist in maintaining and updating compliance policies, procedures, and monitoring programmes in line with regulatory changes and industry best practice.
  • Support risk‑based and thematic reviews to test the effectiveness of controls across the fund services business.
  • Prepare regular compliance monitoring reports, dashboards, and key risk indicators for senior management, fund boards, and internal governance committees.
  • Maintain accurate records and audit trails of all monitoring activities, breaches, and remediation actions.
  • Support internal and external audits, regulatory inspections, and board reporting requirements.
  • Ensure procedure documents are up-to-date and team is following the process
  • Challenge the status quo and identify opportunities for process enhancements
  • Enhance existing compliance coding, and investigate / troubleshoot potential breaches when needed
  • Drive connectivity with other locations and partner with peers globally in each of the fiduciary services teams
  • Responsibilities relating to the direction, planning, structure, frameworks (e.g. processes and policies) and oversight. For example, Responsible for assessing the effectiveness of the Group’s arrangements to deliver effective governance, oversight and controls in the business and, if necessary, oversee changes in these areas; Awareness and understanding of the regulatory framework, in which the Group operates, and the regulatory requirements and expectations relevant to the role.

 

Skills and Experience

  • Bachelor’s degree or equivalent qualification 
  • 5-7 years of extensive banking operational experience, including funds and fiduciary services, compliance monitoring
  • Demonstrated success in managing relationships with local stakeholders 
  • Experience actively contributing to improvement initiatives such as system upgrade projects 
  • Client-focused approach with a comprehensive understanding of client objectives 
  • Preferred experience in the investment management industry and familiarity with investment products 
  • Preferred proficiency in VBA, Macro, Charles River Investment System, SQL
  • Adept at collaborating across multiple functions, regions, and stakeholder groups with professionalism and sound judgment 
  • Good motivation, ownership mindset, and a sense of urgency
Working Arrangement
  • Working Hours: 9am - 6pm or 12pm - 9pm 
  • Hyrbid Work Arrangement (2 days in office, 3 days WFH)
