Job Summary
In partnership with Business Management and Business PMOs, the role is responsible for enabling Domains and Hives to achieve optimal business and delivery outcomes through strong financial governance, operational discipline, and proactive management oversight. The incumbent acts as a trusted advisor to Domain Technology Leads (DTLs), Hive Leads, and delivery teams, ensuring effective management of contracts, infrastructure expenditure, planning activities, financial controls, and reporting processes.
The role drives end-to-end financial stewardship across the Domain by establishing structured governance frameworks, monitoring budgets and forecasts, optimizing spend, and ensuring compliance with organizational policies and procurement standards. It provides transparency over financial performance, contractual obligations, infrastructure investments, and project delivery commitments, while supporting strategic planning cycles such as Big Room Planning (BRP).
A key aspect of the role is to partner closely with stakeholders to identify opportunities for cost optimization, improve operational efficiency, maintain data quality and reporting accuracy, and ensure the effective transition of initiatives from project delivery into Business-as-Usual (BAU) operations. The role also provides leadership and mentorship to junior resources, fostering a culture of accountability, operational excellence, and continuous improvement.
Key Responsibilities
Contract & Vendor Management
• Contract Governance
• Proactively manage contract renewals in partnership with Domain Technology Leads (DTLs) and Hive Leads who own the vendor contracts.
• Ensure Engagement Request (ER), Service Request (SR), and SC Buy processes are followed in accordance with procurement policies.
• Provide regular progress updates to Domain Heads on contract renewal and procurement activities.
• Participate actively in the Deal Review Board (DRB) process and provide required inputs to secure Management Team (MT) approvals and sign-offs.
• Vendor Payment Management
• Raise purchase orders following DRB approval.
• Ensure invoices are allocated to the correct cost centres and project codes.
• Submit invoices to Finance based on contractual milestone completion.
• Follow up with Finance teams to ensure timely vendor payments.
• Maintain and review vendor payment trackers for projects, with Hive Leads through regular governance meetings.
Financial Management & Governance
• Budget, Forecasting & Spend Management
• Monitor and track infrastructure expenditure, including both one-time and recurring costs.
• Provide visibility and forecasting of infrastructure spend across the portfolio.
• Collaborate with Domain Leads to identify opportunities to optimise software and hardware expenditure.
• Ensure Forecast vs Actuals and Budget Variance reporting is effectively managed across Hives.
• Manage financial accruals and recharge activities within the financial year.
• Project Financial Controls
• Monitor and govern Project-to-BAU financial transitions on a monthly basis.
• Ensure work items and resource allocations align with Capex and Opex accounting guidelines.
• Review timesheet submissions and ensure optimal cost recovery across the domain.
• Ensure YTD under recovery is submitted via backend in clarity to minimise impact to BAU financials.
Resource & Portfolio Governance
• Workforce and Portfolio Management
• Review and maintain aXess resource data in collaboration with Domain Tech Leads, Hive Leads and Chapter Leads.
• Facilitate periodic reviews and obtain formal sign-off from Domain Technology Leads.
• Ensure portfolio data accuracy and governance standards are maintained across systems (ADO and Utilisation metrics) and reporting platforms.
Agile Planning & Delivery Support
• Big Room Planning (BRP) Enablement
• Coordinate and facilitate Pre-BRP and Big Room Planning activities.
• Support planning sessions and ensure appropriate stakeholder engagement and readiness.
• Committed Say Do deliverables reviewed with DTLs and finalised in ADO.
• Delivery Tracking & Reporting
• Monitor committed BRP features within Azure DevOps (ADO).
• Provide Sprint-wise delivery and execution metrics to Hive and Domain Leadership.
• Validate data quality within ADO and coordinate corrections with Product Owners and delivery teams.
Leadership & Team Development (only for the Lead)
• Capability Building
• Lead, coach, and mentor junior team members.
• Drive consistency in processes, governance standards, and best practices.
• Foster a culture of accountability, operational excellence, and continuous improvement.
