Job Description: 

Job Summary

•    Liaise with CoE leads/NEW Operations/TA to prepare, validate and maintain CD COE MIS including headcount demographics, hiring, attrition stats etc.
•    Liaise with relevant teams/SPOCs to generate smart reports/dashboards for Finance / business specific requirements
•    Manage COE resourcing cadence dashboard
•    Monitor track and ensure readiness of recovery tracker 
•    Liaise with COE Leads and validate billable days for vendor and Clarity staff
•    Prepare governance decks and ensure their readiness proactively
•    Churn out relevant MIS basis business need / problem statement
•    Support process automation as needed

Key Responsibilities

Strategy

•    Supports PMs to successfully deliver the scope with a disciplined approach to change control and zero tolerance for scope creep
•    Organizes project/operations related meetings and events (also requiring coordination outside of the Bank with external partners) including coordination of participants’ calendars, room bookings and all other meeting related logistics (equipment, meals, travel, etc.).  
•    Building relationships with multiple senior stakeholders and with their assistants across various geographies.
•    Ensures all required documentation is prepared for the meetings/ events & available to participants on time. 
•    Takes notes/ minutes from the meetings and ensuring timely distribution to all relevant parties.
•    Manages all communication with relevant parties before and after events/ meetings. 
•    Supports management of COE’s invoice processing, PO generation and payment tracking
•    Supports with tracking actual recovery for submission to Finance monthly
•    Supports COE Ops with documenting risks, issues, cost, benefit, and scope changes
•    Supports COE in activities related to New vendor onboarding 

Business
•    Primarily responsible for managing financials, tracking recovery and other MIS for COE

Processes
•    Manage COE recharge and recovery per agreed
•    Headcount demographics and resourcing MI
•    Automation of processes

Risk Management

•    Supports with preparing materials for governance meetings as required
•    Supports identification, management &resolution of risks, issues and interdependencies
•    Assists with Project governance through supporting delivery of detailed Work Breakdown Structures, Project Working Groups and Steering Committees/ RFs
•    Supports activities related to country compliance/ CGC approvals 

Governance 
•    Prepare governance decks and ensure their readiness by proactively working with relevant leads.

•    Understands and ensure compliance with, in letter and spirit, all applicable laws, regulations and guidelines including those governing securities activities, company law, anti-money laundering, terrorist financing and sanctions; the Group’s policies and procedures; and the Group Code of Conduct.  
•    Takes personal responsibility for understanding the risk and compliance requirements of the role. 
•    Effectively and collaboratively identifies, escalates, mitigates and resolves risk and compliance matters. 
•    Embeds the Group’s Values and Group Code of Conduct to ensure adherence with the highest standards of ethics.  
•    Complies with relevant policies, processes and regulations, as part of the culture.

Key stakeholders

•    Co-operates with PM or PgM and works with a cross-functional team of Business Analysts, Product Engineers, Systems Developers, as well as partner with Product, Operations, Risk, Legal & Compliance and Production Support teams. 
•    Internal communications team, Corporate Communications team, Subject Matter Expert employees
•    Key Functional Partners: ITO, Finance, Compliance, Legal and Risk
 

Qualifications

2+ years’ experience in Project support for any BU
