JOB SUMMARY

 

We are seeking a highly organized and proactive Executive Assistant to join one of the well respected Support Functions. The ideal candidate will be a detail-oriented professional with exceptional communication and multitasking skills. This role requires a high level of confidentiality, discretion, and the ability to work efficiently in a fast-paced environment.

KEY RESPONSIBILITIES

 

  • Provide comprehensive administrative support; which includes managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Serve as a liaison between the People Leader and internal/external stakeholders, ensuring effective communication and follow-up.
  • Organize and maintain files, records, and documentation, ensuring accuracy and accessibility.
  • Assist in the preparation and coordination of meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Handle confidential and sensitive information with utmost discretion and professionalism.
  • Conduct research and compile data to support various projects and initiatives.
  • Manage expense reports, invoices, and other financial documentation.
  • Perform other administrative duties as assigned to support the efficient operations of the function.

ROLE REQUIREMENTS

 

  • Bachelor's degree in Business Administration, Finance, or related field preferred.
  • Proven experience as an Executive Assistant or in a similar administrative role, preferably within the financial services industry.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills. Chinese is a plus, however not mandatory.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and collaboratively in a team environment.
  • High level of professionalism, integrity, and discretion in handling confidential information.
  • Strong attention to detail and accuracy.
  • Ability to thrive in a fast-paced, dynamic environment.
