Title: Executive Assistant
Central, HK
To provide full secretarial services to the Head and administrative matters of the Dealing Room to ensure smooth running of the office and delivery of a quality service.
Responsibilities
- Provide administrative support to the Markets Head HK & GCNA:- Organise travel itineraries, prepare T&E claims for business expenses, regular declaration requirements from the Bank and external parties, T&E, IT and e-procurement approval/review
- Provide administrative support to HK Markets COO team
- Arrange and coordinate external events for Markets in HK, eg Markets sponsored external events and clients events
- Coordinate with CRES or Corporate Affairs for internal events held at Dealing Room
- Collect mails from IFC Post Office and receive internal mails from other SCB offices daily
- Purchase office items for the Dealing Room, such as stationery, office equipment and pantry items in the most cost effective manner through e-procurement
- Allocate and keep record of female toilet lockers, personal lockers and safekeep master keys for the whole floor
- Check invoices from external suppliers and prepare e-procurement for payment
- Assist Markets COO Team to maintain Dealing Room visitor log, visitation policies and approve floor access requests
- Work closely with Markets COO and Compliance to prepare and consolidate orgcharts for Markets teams in HK & GCNA
- Coordinate with HK CRES for premises related matters
Requirements
- High school or college graduated
- Executive assistant experience supporting senior stakeholders
- Experience in business writing
- Strong organisation and prioritisation skills
- Strong communication and interpersonal skills
- Proficiency in English and Chinese
