Job Summary
This role presents a compelling opportunity for an experienced Executive Assistant to join the Transaction Banking Team. Reporting to the Regional Head of Transaction Banking Corporate Sales, HK & GCNA, the successful candidate will play a pivotal role in ensuring seamless operational support across key leadership positions and their wider teams.
Key Responsibilities
- Provide full secretarial and administrative support to a team of senior bankers
- Manage travel itineraries including meeting schedules, accommodation and transportation arrangements
- Consolidate travel and entertainment expense reports, claims and reimbursement
- Support the team in all aspects of business and administration in alignment with Group and Country strategies
- Ensure the smooth running of the office and delivery of a quality service to the benefit of the Bank and customers, both internal and external
- Coordinate management meetings, business events, video conferences and conference calls
- Organize and coordinate logistics for team, client and leadership events both onsite and offsite, encompassing budgeting, vendor management and stakeholder communications
- Ensure reliable support is provided to the team in communicating with regional and global offices and counterparts
- Prepare reports and business presentations in a timely and accurate manner
- Handle specific projects and tasks as designated by the team
- Handle private & confidential documents and correspondences, for the Bank as well as external clients
- Responsible for servicing clients and partners by responding to inquiries or referring the inquiry to the appropriate area for resolution
- Manage the budget process for department and/or team, track all expenditure and ensure budgetary constraints and adhered to
Qualifications
- Excellent analytical and organizational skills are required to research and resolve inquiries, and to manage conflicting priorities and workflow
- Demonstrate professionalism and able to handle sensitive matters tactfully
- Able and willing to work under tight schedule and deliver requirements in a timely manner
- Attention to detail ensuring accuracy and thoroughness in all work completed
- Team player with excellent interpersonal skills to deal with all levels
- Self-motivated and ability to work independently
- Advanced proficiency in Microsoft Office
- Experience in Business Writting
- Familiar with banking terminology
