Job Description: 

Job Summary

•    The role sits in the Careers & Capabilities Function, within the global Operations & Excellence team, with a specialised focus and alignment to the Early Careers team.  Whilst the role reports directly in to Operations and Excellence, there will also be a dotted line  to the Global Head of Early Careers, based in Singapore.
•    We are looking for a dynamic and forward-thinking professional to lead Global Operations Excellence for Early Careers.  This role is responsible for driving operational excellence and governance end-to-end across graduate, intern and apprenticeship programs globally. It oversees vendor performance, manages risk and compliance frameworks, and leads process optimisation initiatives to ensure efficiency and cost-effectiveness in Early Careers recruitment. The position partners with internal stakeholders and external service providers to implement best practices, monitor adherence to regulatory requirements, deliver continuous improvement and technology optimisation or implementation programmes.
•    By championing governance and operational rigour, the Global Ops Excellence Lead ensures that Early Careers programs align with organisational objectives, diversity goals, and risk appetite. As such, the role will also be responsible for providing regular updates and insights into how our Early Careers programmes are delivering against our business objectives including ROI.
•    It is also accountable for setting, continuously reviewing and managing the annual global Early Careers budget.

Key Responsibilities

Strategy
•    Partner with cross-functional teams and external service providers to oversee and implement strategic initiatives to implement new systems, technologies of functionalities and other innovative solutions that elevate the overall experience for candidates and hiring managers.
•    Support development and implementation of Early Careers strategies, policies, and practices
•    Maintain a strong understanding of global operational excellence environment and the processes needed to execute business requirements.
•    Build, develop and maintain a strong operations community across all countries via guidelines and proactive support.
•    Demonstrate a strategic mindset, with a macro dimension of global businesses. 
•    Drive improvement initiatives and service excellence through the vendor partner to support and deliver the Bank’s and Function’s priorities, and be able to demonstrate how the performance of the Early Careers Function has contributed tangible benefits to those priorities 
•    Oversee provision of regular cross-functional strategic and operational insights reports, collating a range of metrics that helps us assess and play back the overall effectiveness of our Early Careers programmes against strategic business objectives
Business
•    Build and strengthen relationships with core Business functions and cross functional stakeholders to maintain the operational/ risk environment, influence decision making, drive hiring and operational solutions and support strategic initiatives. 
•    Collaborate with the wider Resourcing Operations and Excellence team to support cross hiring initiatives and ensure consistency in service delivery, solutions, risk and controls.  
•    Work closely with the Technology and Operations (TTO) function to plan and drive forward the key technology initiatives and systems implementations.
•    Maintain ongoing relationships with the Business, HR Business Partners, Careers & Capabilities, Resourcing, PC and Talent.

Processes
Governance of Operational performance: Working collaboratively with the RPO partner to facilitate a safe and controlled operational environment, through oversight of end-to-end processes, controls and management of escalations:
•    Oversee the performance of Service Providers responsible for campus recruitment delivery. Monitor adherence to service-level agreements (SLAs), quality standards, and compliance requirements
•    First point of contact and management of operational escalations and queries. 
•    Review and facilitate approval for process and policy dispensation requests. 
•    Collaborate with functional stakeholders to deliver solutions to new requirements or operational issues in a controlled and timely manner.
•    Regular review of end-to-end operational processes to identify and remediate potential gaps, process inconsistencies and validating new process procedures. 
•    Oversight of the HR Finance billing/Invoicing processes for all external vendors and providers.
•    Champion the application of performance metrics and user experience feedback to maintain operational performance and identify opportunities to deliver productivity efficiencies and a best in class service
•    Act as the primary point of escalation for operational issues and collaborate with vendors to implement corrective actions and continuous improvement initiatives.
Management of the Operational Risk and Control environment:
•    Establish and maintain a robust governance framework for Early Careers programmes globally
•    Effective management of Risk and Control related activities including risk events, SLA/KPI breaches, audits, quality assurance tests as it relates to the Operational Risk Framework.  
•    Assess and revise controls in the light of regulatory changes or arising from internal and external audit and risk reviews and provide recommendations.
•    Ownership and maintenance of the Process map in partnership with the RPO provider.
Change Management:
•    Own delivery of allocated change initiatives and support the wider team in delivery of strategic programmes of work
•    Create open communication channels with all critical stakeholders to ensure strong collaboration and partnerships.

Finance
•    Oversee and manage the annual cycle of global EC budgeting from initial draft to final sign off, by communicating timelines and methodology, consolidating inputs, and ensuring all key cost inputs have been considered. 
•    Regularly track and report on spend against budget and facilitate key decisions re budget (re)allocation throughout the year
•    Contribute to the development of financial business cases, as required

The role will have 1 direct report and therefore include people management responsibilities. The role will require the following key competencies:

Risk Management

•    Ensure effective management of operational risks within the role remit and compliance with applicable internal policies, and external laws and regulations. 
•    Act to minimise operational loss and audit failures and ensure appropriate focus on issues, resolutions and controls. Ensure lessons learnt are addressed across all countries / region.
•    Build and maintain an understanding of the local and global market legislation and regulations pertaining to the locations hired. 
•    Develop and embed best practices 
•    Drive governance through appropriate communication channels, training, and documentation.
