Key Responsibilities

  • Effective management & co-ordination of diary( including booking of internal & external meetings/appointments 
  • Organise travel itineraries including meeting coordination, booking flights and transfers, booking hotel and other facilities, handling visas applications etc.
  • Meeting arrangements and logistics thereof - scheduling, room bookings, catering, video conference call etc.
  • Manage all procurement requests / Vendor Creation and liaise between various departments and external vendors
  • Prepare and submit expense claims for reimbursement of business expenses and ensure company policy is adhered to
  • Ensure expense claims, ePro and IT requests submitted by direct reports are in order before approval
  • Raise e-procurement for payment made to invoices and tracking of payment status
  • Raise SRMS for IT requirements, follow up and ensure closure of the requisitions.
  • Handling of Employee portal system on HR matters and management of Line Manager’s direct reports
  • Submit G&E on behalf of the team for events as necessary / T&E for the seniors when requested.     
  • Driver management -   Pool car Driver time sheet + T&E review & Submission as and when required    
  • Ensuring archives and files are maintained in effective format where necessary
  • Administrative and logistic support for onboarding new employees
  • Monitor attendance/leave plan, work lists and trainings of department
  • Ensure confidentiality and privacy of all information in CEO office  including any and all client related matters, staff related private information, Bank records, policies and procedures
  • Maintain departments email distribution lists, generic mailboxes, SharePoint, Shared Folder
  • Provide administrative support to team members on an ad hoc basis.     
  • Monitor Mandatory e-learning completion for self and LM before due date.   

  • Assist with yearend review activities  
  • Arrange events, conferences, MT Member visits & Board visits if any

Qualifications

  • Excellent written and oral communication skills- English and French mandatory 
  • The ability to work effectively with senior level staff throughout the organisation, across different countries and cultures, demonstrating a professional approach
  • Working independently with minimal guidance whenever necessary
  • Good working knowledge of Microsoft (including Outlook, Word, Excel and Powerpoint)
  • Excellent telephone manners
  • Ability to prioritise multiple tasks, work to deadlines and effectively manage time
  • Be able to work under pressure 
  • Strong awareness of and adherence to SCB policies (eg travel, expense policy, and being compliant)
