Job Summary
Strategy
• Provide structured support to senior leaders by preparing detailed presentations, briefing notes, and meeting packs.
• Track all action points raised in leadership meetings, maintain an accurate register of owners and deadlines, and ensure that each item is followed through until completion.
• Coordinate the consolidation of data and updates required for country and regional reviews, working closely with cross functional teams to make sure information submitted is complete, correct, and delivered on time.
• Maintain a clear overview of ongoing priorities, deadlines, deliverables, and key commitments of both executives, ensuring their schedules and workloads remain organized and manageable.
Business
• Support business activities by preparing client meeting materials, business summaries, and reports.
• Work closely with Sales, Product, Operations, and other functions to obtain the information needed for business discussions.
• Coordinate all logistics and documentation for leadership visits, high level meetings, and internal or external engagements, ensuring each event is prepared, structured, and executed smoothly.
• Review business submissions received from markets and teams, check completeness and accuracy, and escalate missing inputs or required corrections to ensure the executives receive reliable information.
Key Responsibilities
Processes
• Manage full calendar requirements for both executives, including scheduling, meeting coordination, travel arrangements, visa applications, accommodation bookings, and the preparation of detailed itineraries.
• Process procurement requests, LPOs, approvals, vendor coordination, and billing. Ensure each transaction follows policy, carries the proper documentation, and is submitted through the required workflow.
• Maintain updated documentation, trackers, shared folders, and administrative files. Ensure all records remain organized, accurate, and ready for review or audit at any time.
• Oversee day-to-day office administration for the executives, including meeting preparation, follow ups, coordination with other departments, and timely completion of tasks that support operational efficiency.
• Liaise with Finance to track invoices, confirm payments, and ensure that all vendor related expenses follow the proper approval structure.
People & Talent
• Support the onboarding and offboarding of team members by arranging access, tools, system requests, and administrative requirements to help them transition smoothly into or out of the team.
• Coordinate mandatory trainings, performance cycles, compliance requirements, and internal timelines, ensuring that team members complete required tasks within the given deadlines.
• Maintain updated and accurate team records, including leave schedules, travel plans, approvals, and other personnel related information that supports planning and resource management.
• Arrange team engagements, learning sessions, townhalls, and events, including all logistics, communication, and documentation needed to support a productive and collaborative environment.
• Provide continuous and reliable administrative support to all team members, ensuring their work is facilitated and that operational tasks do not hinder delivery of business objectives.
Risk Management
• Ensure adherence to internal policies, approval flows, and governance guidelines by reviewing documents, monitoring submissions, and confirming that each item meets the required standards.
• Maintain strict confidentiality and secure handling of sensitive information, including executive communication, financial records, personnel matters, and documents marked as restricted.
• Prepare materials and documentation needed for audits, governance checks, and compliance reviews, ensuring that all records are complete, traceable, and aligned with policy expectations.
• Review expenses, payments, and supporting documents with attention to accuracy and policy alignment. Raise concerns or inconsistencies with the appropriate teams for timely correction.
• Monitor operational risks related to documentation, timelines, and cross functional communication. Flag gaps, delays, or issues that may affect compliance or workflow integrity, and coordinate resolution with the relevant stakeholders.
Governance
• Maintain an updated repository of approvals, submissions, policies and committee documents for easy access and audit readiness.
• Work with Compliance, Operational Risk and other control teams to confirm policy requirements and ensure alignment with governance standards.
• Ensure confidential governance documents are handled and stored securely.
Regulatory & Business Conduct
• Display exemplary conduct and live by the Group’s Values and Code of Conduct.
• Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. This includes understanding and ensuring compliance with, in letter and spirit, all applicable laws, regulations, guidelines and the Group Code of Conduct.
