Job Summary
The Executive Assistant to the CEO plays a pivotal role in providing high-level administrative support, ensuring seamless coordination of the Chief Executive Officer's demanding schedule. This position demands an individual with outstanding organizational capabilities, impeccable discretion, and a proactive attitude toward managing confidential matters. By effectively facilitating workflow and time management, the incumbent will enhance executive productivity and enable strategic focus. This role requires excellent communication skills, attention to detail, and the ability to navigate complex stakeholder interactions with professionalism and tact.
As a trusted partner to the CEO, you will handle a broad range of tasks, from calendar management to liaison with senior internal and external stakeholders, including government agencies and regulatory bodies. Your ability to anticipate needs, prioritize competing demands, and orchestrate resources will be critical in supporting the CEO’s leadership function. Responsibilities
Calendar and Schedule Management
- Take charge of the CEO’s calendar by proactively arranging and prioritizing meetings with key internal teams, regulators, government representatives, clients, and partners.
- Resolve schedule conflicts efficiently, enabling optimal use of the CEO’s time while accounting for travel and preparation needs.
- Collaborate closely with relevant stakeholders to ensure meeting agendas, materials, and logistics are prepared and communicated well in advance.
- Maintain recurring meeting schedules such as committees and one-on-one sessions with direct reports and other executives.
Communication and Compliance Coordination
- Oversee correspondence from and to regulatory authorities, ensuring letters receive appropriate review, compliance approvals, and are timely signed by authorised personnel.
- Act as a point of contact for regulatory communications to facilitate prompt action and maintain robust governance standards.
Event Planning and Visitor Management
- Coordinate executive offsite meetings, onsite events, and visits by high-level executives or stakeholders, ensuring flawless preparation and execution.
- Manage logistics for visits of VVIPs, including travel arrangements, venue selection, invitations, and on-site coordination, engaging with security, business units, and administrative teams.
Third-party Procurement and Vendor Relations
- Administer procurement processes related to CEO activities, verifying approvals and processing vendor payments efficiently using eProcurement platforms.
- Monitor and log all third-party gifts and entertainment activities ensuring strict adherence to governance policies.
Administrative Support and Delegation
- Facilitate timely approvals and manage delegated authorities relevant to the CEO’s responsibilities, ensuring compliance with internal controls.
- Arrange for delegation of authority or representation during the CEO's absences.
- Manage the CEO’s driver and related administrative matters, including remuneration and scheduling.
- Conduct any additional administrative or special assignments as required to support the smooth operation of the executive office.
Qualification and Experience
- The ideal candidate will have between three to five years of secretarial and administrative experience, ideally supporting C-suite executives within a complex organisational setting.
- Experience within financial services or banking industries is highly advantageous, providing familiarity with regulatory environments and corporate governance.
- A first degree in administration, business management, or a closely related discipline is expected, supplemented by recognized secretarial qualifications.
- Multilingual proficiency - particularly in English and French - is essential for effective communication with diverse internal and external stakeholders.
- Strong command of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaborative platforms such as SharePoint and Chrome.
- Basic understanding of artificial intelligence capabilities and contemporary digital tools to enhance efficiency and innovation.
- Exceptional organisational and time management skills, demonstrating the ability to prioritise and multitask under pressure.
- Robust interpersonal skills to develop and maintain relationships across diverse groups, including leadership, regulators, and partners.
- Resourcefulness, creativity, and problem-solving aptitude to navigate complex challenges with a solutions-oriented mindset.
- Excellent written and verbal communication skills with strong business correspondence competencies.
- Demonstrated integrity and discretion in handling confidential and sensitive matters.
