Job Summary

The Executive Assistant will provide comprehensive administrative support to Managing Directors (MDs) within the Assurance function. Working in partnership with another Executive Assistant, the role will jointly support MDs in line with the EA coverage model of up to 1:3.

Key Responsibilities

•    Executive Support & Calendar Management
Coordinate and manage MDs’ schedules, including meeting planning, venue bookings, and end-to-end logistical arrangements.
•    Expense Management & Policy Compliance
Prepare and review G&E reports in line with bank policies, ensuring all supporting documentation is complete and compliant. Proactively remind team members of policy requirements and any updates.
•    Travel Coordination
Arrange and manage travel bookings through approved agencies, including all associated logistics (e.g., visas, accommodation, and itineraries).
•    Events & Stakeholder Coordination
Support the planning and delivery of client and internal events, including managing invitations, coordinating stakeholders, and overseeing administrative arrangements.
•    Team Administration
Provide day-to-day administrative support for the Assurance team, ensuring smooth operational delivery across administrative activities.
•    Stakeholder Liaison
Collaborate with other Executive Assistants and support functions to facilitate internal coordination, meetings, and assignments.
•    Operational & Systems Support
Provide support on IT matters, system access and applications, and procurement requests, including coordination of approvals.

Processes
•    Coordinate and manage MDs’ schedules, including meeting arrangements, venue bookings, and end-to-end logistics. 
•    Prepare and review G&E reports in line with bank policies, ensuring all supporting documentation is complete and compliant; proactively remind the team of policy requirements and updates. 
•    Arrange and support travel bookings through approved agencies, including related logistics. 
•    Support client and internal events, including managing invitations, coordinating stakeholders, and providing administrative support. 
•    Provide day-to-day administrative support to the team, ensuring smooth operational delivery. 
•    Ensure adherence to bank policies and maintain appropriate controls and compliance across all administrative activities.

Risk Management
•    Follow relevant policy and procedure, ensure the compliance by the team in required functions/tasks

Governance
•    Expense and cost control, follow internal control and reporting policy

Regulatory & Business Conduct
•    Display exemplary conduct and live by the Group’s Values and Code of Conduct. 
•    Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. Qualifications

  • Core level of proficiency, understands the core concepts, principles, processes or procedures, relevant experience applying in typical situations on the job, good communication and interpersonal skill, excellent at time management and coordination, has relevant EA experience with MNCs or FIs which could apply for the role, fluent in Cantonese, Mandarin and English
