Job Description: 

Job Summary

Provide comprehensive executive support to the T&O Cluster CTOO India & South Asia by ensuring effective management of time, priorities, governance activities, communications, stakeholder engagement and administrative operations. The role acts as a trusted partner to the CTOO, enabling efficient execution of strategic, operational and leadership responsibilities across the India & South Asia Cluster.


The job holder will operate in a highly dynamic environment requiring exceptional organisation, discretion, stakeholder management and attention to detail. The role serves as a key coordination point between senior executives, business leaders, external stakeholders, and support functions.

 
Purpose:
•    Provide administrative support and team coordination to the Cluster CTOO, India and South Asia, the India and South Asia Management Team (‘MT’), and wider India country and cluster country colleagues to support the effective operation of the T&O South Asia cluster teams.

Administrative Support:
•    Manage the diary and provide professional administrative support to the Cluster CTOO, and T&O MT members.
•    Manage internal and external calls and appointments in an efficient and timely manner.
•    Schedule external and internal meetings, video conferences, and conference calls.
•    Arrange necessary system requirements, access cards, floor access applications for colleague onboarding and offboarding.
•    Coordinate meetings, governance forums, leadership engagements, townhalls and strategic reviews. 
•    Proactively identify scheduling conflicts and recommend solutions. 
•    Ensure meeting materials are prepared, reviewed and distributed in advance. 
•    Track commitments, actions and follow-ups arising from meetings

Travel:
•    Manage travel arrangements for Technology and Operations, South Asia colleagues.
•    Process travel-related expense claims upon completion of colleague’s travel.

Finance:
•    Function as Cost Centre Coordinator for Technology and Operations in South Asia cluster.
•    Process expense claims from Technology and Operations South Asia colleagues.
•    Manage billing processes with external vendors on behalf of Technology and Operations in South Asia cluster.

Power of Attorney:
•    Function as a Senior POA Coordinator for Technology and Operations in South Asia cluster.
•    Manage creation, modification, revocation/cancellation, and archival of POAs for Technology and Operations in South Asia cluster.
•    Manage receipt and review of draft POAs.
•    Function as a primary point of contact for notarisation and legalisation of POAs for signing.
•    Update POAs to CG Workbench in a timely manner ensuring effective governance is set in place.

Key Responsibilities

Business
•    Provide reports and other Management Information in agreed and standardised formats.
•    Support the identification of themes, trends and lessons learnt from investigations in Asia to support the continuous improvement of the Bank’s conduct and control environment.


Processes
•    Support the CTOO India and South Asia, and Technology and Operations colleagues with issuance and revocation of POAs using the CG Workbench tool.
•    Make necessary arrangements for Technology and Operations townhall, team gatherings and sessions with CTOO and their one-downs.


People & Talent
•    Establish, develop, and maintain close collaboration with key stakeholders including Technology and Operations colleagues outside South Asia.
•    Adopt a flexible approach in supporting other areas within the Technology and Operations to support the effective and efficient operation of the function.


Risk Management
•    Support the Cluster CTOO India and South Asia, and the SA Technology and Operations Management Team in remaining informed of any risk areas known or identified and mitigate risks through the creation of a fortnightly case tracker and other summation documents.


Governance
•    Reinforce an effective and exemplary risk and control culture and further strengthen the control environment.
•    Act to minimise operational loss and take proactive measures to respond to matters arising.

•    Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. Qualifications

The Preferred Candidate has/is:

•    Strong critical thinking skills; is comfortable managing multiple administrative processes across various internal systems.
•    Responsive to CTOO requirements and pays meticulous attention to detail.
•    Comfortable working with senior colleagues across different markets.
•    Initiative, confidence, enthusiasm, and is able to work independently and under pressure.
•    The ability to pivot from one matter to another on short notice to respond to changing priorities.
•    Strong people skills with the ability to prioritize workload and manage conflicting priorities
•    Proficient in Microsoft applications; has an in-depth knowledge of Excel, PowerPoint, and Word.
•    Business fluent English and speaks another language across SCB South Asia markets.

 

The preferred candidate may not have direct experience for the role if their energy, enthusiasm, and attention to detail shines through.
