Job Description: 

Job Summary

•    Preparing employment offer letters or contract, addendums and right start packs, ensuring all hiring administration is completed accurately and efficiently and is signed off as required; 
•    Tracking completion of all resourcing administration against deadlines e.g. contract return dates, following up wherever required to ensure all administration is completed properly, in a timely manner;
•    Supporting Talent Acquisition Partner in completing work permit administration, as required.

Pre-Joining:

•    Tracking completion of legal right to work and proof of address checks and obtaining relevant documentation such as Academic & Professional Qualification certificates, Employment Reference during offer session.
•    Coordinating completion of pre-employment checks with external vendors, ensuring candidates provide required information in a timely manner, regularly monitoring the third party’s completion of all pre-employment checks in line with SLAs and minimum standards, flagging all issues and delays to Talent Acquisition Partners in a timely manner for onward resolution;
•    Executing the TA related Right Start pre-employment minimum standards, ensuring timely Bank ID creation and issuing standard notifications to hiring managers, HR RMs and OEs where appropriate;
•    Ensuring all personnel files are updated with the relevant recruitment documentation
•    Ensuring compliance with relevant operational and people risk controls and employment legislation e.g. data protection;

Onboarding:

•    Responsible for the employee P-File records to be updated in File net system in line with SLAs from the joining date. 
•    Verify applicant successfully completed the pre-employment drug screen; follows up with applicant as needed 
•    Initiates and makes outbound calls to applicants relating to onboarding process and/or documents received 
•    Communicate with new hires before their start date to provide necessary information such as work schedules, and contract details
•    Send pre-Onboarding email and welcome email to candidate 

•    Process employment paperwork such as NJD, Previous Income Details, Offer Letter etc
•    Liaise with SC Bank to create Bank accounts for new employees 
•    Ensuring all logistic details are well prepared for day 1 readiness such as ID, access card, asset, goodies. 
•    Organize and host the Day 1 Onboarding induction programs 
•    Introduce new hires to Line Managers 
•    Gather candidate experience feedback from new hires 
•    Manage the New Joiner Kit Tool inventory 
•    Ensure all joiners adherence of Group Staff Screening Policy is adhere at all time 
•    Process and quality check received employment eligibility documents and required identification form

•    related tasks as directed by management. 
•    Other Functions: Quality checks employment eligibility completion check is required prior onboarding; Oversees certain onboarding projects and/or project prioritization; Disqualifying an applicant during onboarding process; Strong technical expertise in Microsoft applications (word, excel, email exchange); Must be extremely detail-oriented and able to identify and quality check throughout the onboarding process; Must have the ability to communicate with applicants and various levels of internal customers regarding the onboarding process; Ability to thrive in a fast-pace environment and keep up with the demanding needs of the company where it pertains to new hire/onboarding growth; Must be able to multi-task and oversee a team relating to projects.

Processes

•    Reference the processes for which the Role Holder is responsible, as per the Operational Risk Framework definition of first / second line, for example, Responsible for executing and supervising the Budget process. 
•    Discrepancy template sign-off for background verification
•    Maintain rigorous standards of data privacy, confidentiality, and audit readiness for all the TA operation activities.
•    Ability to communicate effectively and comfortably with different levels of seniority across the organisation as requestor and within functions such as HR stakeholders.

People & Talent

•    Reference all responsibilities related to people and talent matters, for example: Lead through example and build the appropriate culture and values. Set appropriate tone and expectations from their team and work in collaboration with risk and control partners. Ensure the provision of ongoing training and development of people, and ensure that holders of all critical functions are suitably skilled and qualified for their roles ensuring that they have effective supervision in place to mitigate any risks. Employ, engage and retain high quality people, with succession planning for critical roles. Responsibility to review team structure/capacity plans. Set and monitor job descriptions and objectives for direct reports and provide feedback and rewards in line with their performance against those responsibilities and objectives. 

Risk Management

•    Responsibilities relating to identifying, assessing, monitoring, controlling and mitigating risks to the Group, as well as an awareness and understanding of the main risks facing the Group and the role the individual plays in managing them. For example -The ability to interpret the Group’s financial information, identify key issues based on this information and put in place appropriate controls and measures. All responsibilities under the Risk Management Framework – both execution and supervisory – should be referenced, for example, Act as the [Process] risk control owner under the Group’s Risk Management Framework (including relevant Operational Risk Framework ownership for [Liquidity] risk 

Governance 


•    Responsibilities relating to the direction, planning, structure, frameworks (e.g. processes and policies) and oversight. For example, Responsible for assessing the effectiveness of the Group’s arrangements to deliver effective governance, oversight and controls in the business and, if necessary, oversee changes in these areas; Awareness and understanding of the regulatory framework, in which the Group operates, and the regulatory requirements and expectations relevant to the role.

Qualifications

•    Bachelor’s degree in human resources/ business administration or any other relevant bachelors.

Skill and Experiences


•    Proven experience in talent acquisition, with a focus on T&O or similar roles.
•    Strong understanding of T&O sectors.
•    Excellent communication and interpersonal skills. 
•    Ability to manage multiple priorities and work in a fast-paced environment.
•    Proficiency in recruitment software and applicant tracking systems.
