Job Description: 

Job Summary

Business

Executive & Administrative Support

Provide full administrative support to Markets Head, including:

•    Calendar and diary management
•    Meeting coordination and logistics
•    Travel arrangements
•    Visitor arrangements
•    Preparation of meeting materials
•    Tracking action items and follow-up
•    Consolidation of reports, presentations and management information
•    Assist in organizing town halls, staff engagement activities, client events and business visits.

Dealing Room Operations Support

•    Act as key point of contact for day-to-day dealing room operations.
•    Support operational readiness of the dealing room, including:
•    Seating arrangements
•    Staff onboarding/offboarding coordination
•    Business continuity readiness
•    Coordinate required documentation and record keeping relating to dealing room operations.

Facilities & Premises Management

•    Serve as primary liaison with Property and relevant facility management teams on all dealing floor matters.
•    Perform regular checks on dealing room equipment to ensure dealing room guidelines are adhered and where applicable, work with related stakeholders to address and resolve such issues.
•    Coordinate
•    Maintenance requests
•    Furniture and equipment requests
•    Housekeeping issues
•    Utilities and infrastructure support
•    Follow up and track resolution of premises-related issues.

Financial Administration & Expense Management

•    Preparation of claims for the re-imbursement of business expenses and invoice administration 
•    Raise and track ePro requests and payment processing.

Security & Access Management

•    Work closely with Security and Property teams on dealing room access controls.
•    Coordinate: New access requests/Access removals; Visitor access
•    Maintain records relating to dealing room access permissions.

Governance, Record Keeping & Documentation

•    Maintain electronic and hardcopy filing systems.
•    Ensure documentation is properly stored and easily retrievable.

Other Duties

•    Provide ad-hoc support to Markets Head, CBM and dealing room staff.
•    Undertake any other administrative, operational, business support or coordination responsibilities as may be required by Markets business from time to time.

•     Perform assigned responsibilities in accordance with established operating procedures, administrative processes and control requirements, and ensure assigned tasks are completed accurately and in a timely manner.

Risk Management

•     To comply with all applicable local laws, regulations, Group Policies and Standards, and Markets policies, procedures, controls, standards and operating guidelines relevant to the assigned role and responsibilities.
•    Acknowledge and understand thoroughly the contents and requirements of the Standard Chartered Group Code of Conduct.
•    Ensure a full understanding of the risk and control environment in area of responsibility.

•    Take personal responsibility for understanding the risk and compliance requirements of the role. Understand and comply with, in letter and spirit, all applicable laws and regulations, the Group’s policies and procedures; and the Group Code of Conduct. Qualifications

•    Attention to detail. 
•    Strong verbal and written communication skills in both Vietnamese and English
•    Ability to learn and act fast
•    Proven track record of working as a PA or team secretary in professional and demanding environment. 
•    Ability to work with minimal guidance whenever necessary and to focus on several diverse areas at the same time, showing good initiative as necessary. 
•    Strong planning and organizational skills, with the ability to prioritize and multi-task while remaining calm and professional. 
•    Demonstrate initiative, flexibility and adaptability. 
•    Ability to work with people at all levels, particularly senior management, and be a team player. 
•    Self-driven, results-oriented and responsible with a positive outlook. 
•    Ability to manage deadlines.
