JOB SUMMARY

This role is responsible to:

  1. Handle day-to-day operational of Transfer Agency of Mutual Fund of which Standard Chartered is appointed as Custodian Bank.
  2. Process and monitor instruction from Fund Manager and Selling Agent that appointed by Fund Manager from S-Invest, as well report to S-Invest.
  3. Provide and monitor report to external (Fund Manager, Selling Agent and Regulatory) and internal (Fund Accounting)
  4. Monitor all the processes in Transfer Agency and manage team on daily basis, on the other hand as a other Team Leader back-up or Line Manager back-up.

 

RESPONSIBILITIES*

Processes*

  • To make sure all transactions from S-Invest on daily basis are processed as stipulated in DOI (Department Operating Instructions)
  • To make sure that all subscription money on the subscription date is good fund.
  • To make sure that all redemption transactions inputted has adequate units.
  • To check and make sure that redemption payment is as per outstanding settlement report and to check the account belongs to the investor itself.
  • To authorize vouchers for in house redemption payment, subscription amount to investment account or payment instruction for further redemption payment process to CMS unit.
  • To ensure DDB (Daily Deal Board) is checked by PICs (Person in Charges).
  • To monitor daily reports submitted to Selling Agent.
  • To prepare & submit monthly report for internal and external parties.
  • To ensure full compliance of Mutual Fund regulations as issued and amended (from time-to-time) by OJK (Otoritas Jasa Keuangan)
  • To act as the backup for Head of Transfer Agent or other officer (Transfer Agent).
  • Continually monitor adequacy of operational systems/procedures to ensure that they are appropriate to needs and can cater for increased business volume.
  • Continually monitor and review the appropriateness of services and speed of delivery to ensure that they meet the client's expectation and continually improve the quality of services.      
  • Managing customer enquiries related to the participating units’ and portfolio transactions and provides administrative and operational support within the bank.
  • To fully comply with Group Policy and Standards on Money Laundering Prevention or local regulatory requirements for the prevention of money laundering
  • To make prompt report of suspicious transactions or proposed transactions according to the documented process on reporting and/or in compliance with local regulatory requirements
  • To constantly provide feedback to Head of Transfer Agent and Head of Fund Services on operational issues and review manpower resources and work assignment, mobilization of staff in relation to workload and prioritization.

Risk Management*

  • Where necessary, mitigate and/or escalate risks to appropriate parties
  • Comply with applicable Money Laundering Prevention Procedures and, in particular, report any suspicious activity to the Unit Money Laundering Prevention Officer and people leader.
  • To ensure full compliance of Mutual Fund regulations as issued and amended (from time-to-time) by OJK (Otoritas Jasa Keuangan).

 

STAKEHOLDER

Internal:

  • Units in Securities Services Operations, including Fund Accounting team.
  • Local FCC (Financial Crime Compliance), Ops Risk, Product, Sales, Client Service and Implementation.

External:

  • Fund Managers and Selling Agents.
  • Central Depository (KSEI/Kustodian Sentral Efek Indonesia).

 

IDEAL CANDIDATE

  • Holds a Bachelor’s degree in Accounting or a related field.
  • Has experience as a Transfer Agency professional or in a similar role, preferably with hands-on exposure to handling unit transactions of mutual funds.
  • Possesses solid knowledge of mutual fund products.
  • Demonstrates proficiency in using Excel spreadsheets for reporting and data management.
  • Has foundational knowledge of basic accounting principles.
  • Understands relevant system procedures and operational workflows.
  • Is proficient in written and spoken English.
  • Has prior exposure to leading or supervising a team.
  • Is a self-starter with strong initiative and the ability to collaborate effectively with multiple stakeholders.
