Job Summary
We are seeking a detail-oriented and highly organised Team Assistant to provide comprehensive administrative support to the International Corporates team within the Corporate and Institutional Banking (CIB) division. This role plays a crucial part in ensuring the smooth day-to-day operation of the team, managing a variety of administrative tasks ranging from communication facilitation to expense management, logistics coordination, and data management
The successful candidate will efficiently handle daily correspondences, oversee approval processes for staff claims, coordinate pool car bookings and assist with travel arrangements. The role also demands a proactive approach to ad hoc duties such as vendor management, onboarding support, meeting room logistics, and procurement activities.
This position is based in our Kuala Lumpur office and requires a professional who is adaptable, tech-savvy, and capable of working collaboratively within a dynamic banking environment. You will contribute directly to the team's operational excellence, supporting Relationship Managers (RMs) and various functional partners, to help deliver outstanding service to our clients and stakeholders.
Key Responsibilitie
Daily Duties:
- Efficiently manage team emails to ensure timely communication and follow-up.
- Review and process staff expense claims in the Concur system prior to RM approval, ensuring compliance with company policies.
- Coordinate CIB pool car bookings, maintaining a seamless transportation service for the team
Ad Hoc Duties:
- Conduct thorough review and approval of payment requisitions within the e-procurement system.
- Prepare and submit claims on behalf of the Head of IC, managing related administrative tasks.
- Handle filing of client business cards for easy access and record keeping.
- Order and manage business card procurement using E-procurement systems for IC leadership and team members.
- Facilitate travel and hotel arrangements for the Head of IC and team members, keeping travel plans organised and efficient.
- Maintain ARM code tagging and booking location updates within the RDM system and monitor completion, providing follow-ups and updates to RMs.
- Manage applications related to signing numbers including new registrations, deletions, and amendments.
- Support various administrative requests such as G&E registrations, system access, Golf bookings, and ensure timely vendor payments.
- Handle new vendor creation and reactivate inactive vendors to support business needs.
- Oversee smooth onboarding processes for new team joiners, including system access provisioning and troubleshooting.
- Maintain and update CIB bi-weekly meeting agendas and calendar invitations for all staff.
- Arrange booking of meeting rooms for internal and external meetings to ensure operational readiness.
- Coordinate ordering, distribution, and collection of bulk items such as festival packets (e.g., Chinese New Year, Raya).
- Manage procurement and handling of logistics materials including City Link flyers and consignment notes.
- Prepare and manage printing and binding of presentation materials.
- Authorize and coordinate temporary door access for visitors at designated floors and liaise with security teams accordingly.
- Update and maintain CIB distribution lists to keep communications current and efficient.
- Order standard forms like collection vouchers for the GS team as needed
Monthly Duties:
- Submit monthly balance substantiation reports using FCS/FCA systems.
- Generate and raise payment requisitions for monthly vendor invoices including Maxis, CTOS, and My Driver services.
- Extract and update monthly headcount reports for organisational chart maintenance.
Yearly Duties:
- Serve as Department Continuity Coordinator (DCC) by updating Business Continuity Plans (BCP) and Business Impact Analyses (BIA) for CIB annually.

- Exceptional multitasking and organisational skills, ensuring timely completion of varied responsibilities without compromising quality.
- Proficient with digital tools and systems, including Concur, e-procurement platforms, and Microsoft Office suite, demonstrating a tech-savvy approach to administrative work.
- Capacity to build and maintain positive working relationships with colleagues at all levels, contributing to a supportive team environment.
- Adaptability and openness to change in a fast-paced banking environment, responding effectively to evolving priorities and challenges.
