JOB SUMMARY

Supply Chain Management (SCM) is responsible for the strategic direction and governance of all third-party spend, which accounts for over 40% of the bank’s cost base.  The Procurement and Property FFG transversal stream has responsibility to deliver USD 193m of cost reduction, and to support an additional USD 550m of additional saves relating to third-party costs in TTO.  This role is for an experienced PMO to manage and execute programme governance for the Third-Party Risk Management (TPRM) Simplification transformation programme and projects, to deliver FFG initiatives and to create artefacts to demonstrate the success of the project and highlight the risks and opportunities. 

RESPONSIBILITIES

Strategy

•    Good understanding of the Bank’s vision and strategy appropriate to the role
•    Good understanding of TPRM, SCM, Risk, Finance and the organizational structure of the bank  
•    Thorough understanding of the Bank Change Management framework, Change Delivery Standards and the key focus areas

Business

•    Awareness and understanding of the wider business, economic and market environment in which the Group operates.
•    Strong appetite to get into detailed discussion with functions and businesses on their third-party spend to help address the challenges of interlock between the FFG transversal savings and the function/business budget savings.

Processes

•    Manage the overall governance, tools, and processes for the TPRM Simplification Program
•    Manage program finances, RAID log, and other key program deliverables. 
•    Excellent understanding on Change Governance Policy and Change Management Standards by active partnership with the FFG Control Tower and other senior stakeholders.
•    Identifying, defining, developing, and implementing improvements to Program reporting and monitoring processes.
•    Ensure data in Clarity is accurate and up to date for the program/ initiatives Proactively work with delivery leads to address data quality issues.
•    Track upcoming program milestones and assist workstream leads for successful closure. Assist to obtain ORO / PO sign offs as necessary.
•    Actively track program forecast and ensure that program is tracking within budget and remains within acceptable variance tolerance levels. 
•    Prepare monthly status reports in Clarity and ensure program RAG is up to date. 
•    Identify and deliver actions to improve the quality of deliverables based on monitoring and reporting activities and management information.
•    Develop good quality templates which aid in the change management framework adherence.
•    Support portfolio and executive reporting needs by preparing high quality materials for Steerco/QPR/ other meetings materials / deliverables. Prepare meeting minutes and track closure of action items.
•    People coordination – act as the central figure for resourcing and people needs across the program. 
•    Ensure that projects follow checks and controls for Go Live Milestones, Financials Mgmt.
•    Manage timesheets for resources across Initiatives if required.

•    Manage all financial activities (Raising of Purchase Orders, processing invoices, recharges, accruals)
•    Implement compliance and controls set by the FFG Control Tower.
•    Identify, lead and on time delivery of Initiatives to standardize and simplify processes.
•    Production of accurate and quality materials for Scorecards, Weekly reports, Steerco, Refinement Forums and other meetings materials and deliverables
•    Upkeep of program documentation and artifacts, as well as storage in Program Document Repository for audit purposes 

•    Proficient in MS Office /Confluence / Clarity / ADO
•    Ability to communicate effectively and comfortably with different levels of seniority across the organisation.
•    Track and monitor program benefits / realization, to be in compliance with FFG commitments. 
•    Raise program Change Requests as necessary.

People & Talent 

•    Stakeholder Management - establish working relationships with key stakeholder across the portfolio.
•    Work with portfolio/ other PMOs to adopt best practices and processes. 

Risk Management
•    Monitor, maintain, manage, and escalate the risks, issues and dependencies relating to delivery of the program. Follow up for active closure of risk items and action items, escalate delays to Program Director as necessary. 
•    Understand and ensure compliance with applicable laws and regulations, the Groups policies/ standards, procedures, and the Group Code of Conduct.
•    Effectively identify, escalate, mitigate, and resolve risk and compliance matters. Contribute to a culture in which all stakeholders feel safe to raise concerns and where risk and compliance matters are addressed, and misconduct appropriately dealt with. 
•    Assist with preparation of program artifacts (such as Program Plan, CRA, PIR, ToR) and other documents. 
•    Act as a central liaison during of an Audit for submission of required program artifacts.

  • 10+ years of extensive experience in project and risk management within financial services
  • Should have expertise in leading complex strategic initiatives
