Job Summary

The key roles and responsibilities of the Business Planning Manager to the Global Head of Employee Advocacy are to support the Global Head, Employee Advocacy (EA) with the overall book of work and stakeholder engagement for the EA portfolio. This role is critical in ensuring governance, organisation and communication to enable a more effective team and the delivery of priorities aligned to the overall HR, Strategy&Talent and Organisational strategies. The role holder will work with a wide variety of stakeholders particularly across HR to support delivery of the strategic agenda, as well as key stakeholders outside of HR e.g., Finance, S&T COO, etc. The role holder will flow between strategic and tactical delivery and work closely with all EA initiative owners not just on project governance, financial management and various management reporting, tracking the progress on a timely basis, but also on content. The BPM will also identify opportunity for continuous (process) improvement to enable increased team effectiveness. The role holder will be first point of contact for the team and therefore demonstrate an understanding of prioritisation, urgency and escalation where needed. 

Key Responsibilities

  • To support the Global Head, Employee Advocacy in the ongoing development and delivery of the EA strategy, priorities, book of work and agenda, acting as Chief of Staff and strategic advisor on team and people matters within EA. 
  • Act as a conduit and gatekeeper in to the EA team (especially for the Global Head) to ensure relevant flow of communication and information between the team and wider stakeholders.
  • Monitor and track progress of deliverables including key initiatives and projects that support the achievement of the strategic agenda, taking the lead on projects where appropriate.
  • Manage overall EA governance, financial management and various management reporting of projects/ initiatives including inputs to the relevant forums, scorecards and tools (e.g., Workforce Planning)
  • Organise and plan relevant workshops, offsites, meetings, and presentations to enable achievement of the strategic agenda, as well as building team relationships and enabling effective ways of working within the team. 
  • Day-to-day business management for the EA team, including monitoring and tracking of functional performance, budgets and establishing and maintaining appropriate processes/ mechanisms. 
  • Prepare reports, presentations, papers and review material to support discussions and decision making. 
  • Manage agendas, prepare relevant materials and track action items for meetings and forums. 
  • Support Global Head, Employee Advocacy to execute on planned priorities including delivery of objectives and outcomes aligned to strategic agenda. 
  • Provide expert knowledge in project management, change management and communications. 
  • Support Global Head, Employee Advocacy ahead of material issues and act as point of contact to help manage issues/ solve problems avoiding escalation.

  • Strong project and programme management experience 
  • Management consulting experience 
  • Outstanding stakeholder engagement skills
  • Exceptional written and verbal communication skills
  • Multi-tasking skills; able to prioritise issues and resolve them efficiently without escalation.
  • Mature self-starter who can quickly get up to speed with a complex book of work and identify risks, issues and opportunities.
  • Ability to work on broad projects as well as day-to-day process-oriented tasks (spanning between high level strategy and tactical delivery). 
  • Strong organisational skills and process discipline.
  • Flexibility and responsiveness to handle changing priorities and urgent requests from senior management, and the ability to communicate the required detail at pace.
  • Experience working in a geographic/ functional matrix
  • Multi-cultural awareness and proven success of working effectively with people of different backgrounds.
