Job Summary

Based on the trading floor, the Markets Business Assistant provides efficient and professional administrative support to multiple Markets teams, Markets management, and the wider Markets business.

This is a varied role requiring flexibility, adaptability, and excellent organisational skills. It offers the opportunity to work in a dynamic, fast-paced environment while taking on broader responsibilities over time.

The successful candidate will demonstrate strong attention to detail, excellent prioritisation skills, and effective written and verbal communication, with the ability to build productive working relationships across all levels of the organisation.

This is a fixed-term opportunity for an expected period of 6 months.

Key Responsibilities

  • Deliver high-quality administrative support to multiple Markets teams, Markets management, and the wider Markets business on the trading floor.
  • Coordinate complex diary management, internal and external meetings, virtual meetings, conference calls, meeting room bookings, visitor registrations, and hospitality arrangements.
  • Arrange domestic and international travel, including multi-leg itineraries, visa requirements, compliance checks, and related logistics.
  • Facilitate onboarding, offboarding, and internal transfers by coordinating system access, software requests, and completion of relevant processes and checklists.
  • Raise and track IT, Telecom, and system access requests through internal platforms, ensuring timely follow-up and resolution.
  • Process expense claims, including foreign exchange reconciliations and adjustments, in accordance with company policies. Raise Gift and Entertainment approvals in line with company policy.
  • Oversee financial administration activities, including purchase orders, vendor onboarding, invoice processing and cost tracking.
  • Assist with the planning and delivery of internal and external events, including venue sourcing, logistics, quotations, contracts, hospitality, and specialist requirements.
  • Handle day-to-day office administration, including post distribution, courier services, printing requirements, and general trading floor support.
  • Contribute to projects, initiatives, and additional administrative requirements as needed to support business objectives.

Qualifications

  • Proven experience as a Markets Business Assistant, Team Assistant, Business Assistant, or Administrator supporting senior stakeholders within banking, financial services, or a similarly professional environment.
  • Strong understanding of the demands associated with supporting senior leaders and client-facing teams in a fast-paced environment.
  • Excellent organisational skills with the ability to prioritise, multitask, manage competing deadlines, and perform effectively under pressure.
  • Strong stakeholder management and relationship-building skills, with the confidence to interact effectively across all levels of the organisation.
  • Excellent written and verbal communication skills in English.
  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.Strong attention to detail, commitment to accuracy, and ability to handle sensitive and confidential information with discretion and professionalism.
  • Experience working with Oracle PeopleSoft billing software is advantageous.
  • Proactive, adaptable, and flexible approach, with a commitment to continuous learning and the ability to respond to evolving business requirements.
