As a Personal Assistant and Team Administrator at Standard Chartered in London, you will provide exceptional administrative support to Managing Directors and their high-performing client-coverage teams. Key Responsibilities
Your core responsibilities will include:
- Diary and Meeting Management: Efficiently coordinate internal and external meetings, ensuring optimal time allocation for Managing Directors and their teams. You will handle booking meeting rooms, arranging refreshments, managing visitor registration, and facilitating video conferencing and conference calls.
- Communication and Correspondence: Manage the distribution of post, organize courier services, and handle printing requests to support day-to-day operations.
- Travel Coordination: Plan and administer complex travel itineraries, including multi-leg trips, visa arrangements, compliance checks, and related logistics to ensure smooth and efficient travel experiences.
- Event and Roadshow Support: Research and book venues, coordinate logistics, manage specialist needs such as translators, process quotes and contracts, and oversee hospitality arrangements.
- Expense Management: Process high volumes of expense claims with diligent foreign exchange reconciliation, adjustments, and ensure timely submission in compliance with company policies.
- Absence and Workforce Management: Monitor and approve team absences, maintain regional absence calendars to ensure business continuity, and assist with hiring processes including liaising with search firms and supporting onboarding procedures.
- Training and Development Support: Organise training sessions, ensuring all systems, software, licenses, and regulatory requirements are in place for smooth delivery.
- Financial Administration: Track and collate costs, prepare and issue company invoices, and manage purchase orders, including vendor onboarding and verification.
- Governance and Compliance: Administer sponsorships and governance procedures, support Legal Counsel and regional teams with mandate-related administration and client relationship management (CRMX) data updates.
- Ad Hoc Support: Act as a key point of contact for additional, evolving administrative needs and projects in support of the team and business objectives.
Qualifications
- Proven experience as an Executive Assistant, Personal Assistant, or Team Administrator supporting senior executives within client-facing banking or financial services environments.
- In-depth understanding of the demands placed on executive support roles within regulated industries, showcasing a commitment to compliance and governance.
- Relevant professional certifications or formal education in executive assistance or administration are advantageous and reflect dedication to continuous professional excellence.
- An eagerness for ongoing personal and professional development, with strong organisational aptitude and stakeholder management capabilities.
- Excellent command of English, both written and oral, ensuring clear, professional communication and effective handling of correspondence and documentation.
- Advanced skills in Microsoft Office Suite applications (Outlook, Word, Excel, PowerPoint) and collaboration platforms to enhance efficiency in task management and team coordination.
- Ability to cultivate and maintain professional relationships with internal and external stakeholders, demonstrating exceptional communication and customer service orientation.
- Familiarity with regulatory requirements, contract administration, and financial controls that support compliance efforts.
- Outstanding ability to prioritise, multitask, and perform accurately under pressure, ensuring deadlines and business needs are consistently met.
- Proven integrity in handling sensitive information discreetly, maintaining the highest standards of confidentiality.
