Job Summary
We are looking for an experienced Personal Assistant to join Standard Chartered Bank. This is an interesting opportunity to join the Transaction Banking (TB) business and is essential in directly supporting the Head of TB for the UK region and Regional Head of Cash Product Europe as well as the broader business.
You will work closely with the TB UK Head / TB Cash Product Head and with the teams in Cash Product and Digital Channels to pro-actively support them in their day to day activities. You will also work and build relationships with the leaders of various TB teams or those undertaking company secretarial work around the business and also provide cover for the other EA/PAs’ absence. The TB Cash Product team comprises of around 17 people, including Digital Channels specialists in the Europe region, and the wider Transaction Banking Business also includes Sales, Client Implementation and Trade Product.
Effective communication with key stakeholders, both internal and external and understanding their relationship to the TB UK Head / TB Cash Product head, and building trust with internal and external stakeholders enabling positive working relationships to exceed expectations is essential.
Key Responsibilities
- Extensive diary management, travel organisation and expense management:
- Effective management & co-ordination of diary(s) including booking of internal & external meetings/appointments,
- Providing supporting documents (e.g. agendas)
- Meeting logistics preparation and coordination (e.g. VCs)
- Organise travel itineraries including meeting coordination, booking flights and transfers, booking of hotel rooms and other facilities, handling visas applications etc
- Ability to clearly prioritise diary appointments and responses independently.
- Understanding of the Group’s systems and co-ordination of requests via eProcurement, RMS, Peoplesoft. Preparation of Travel & Expense (“T&E”) claims, Gifts & Entertainment register.
- Assisting with the preparation of key meetings including documentation on behalf of Head of Cash, and other team heads as required. Creation of presentation and / or MIS to support the Business Head.
- Prioritise / delegate work while the TB UK Head / TB Cash Product Head is on leave or travelling, including inbox management.
- Assist with the organisation of management, team, and client events, and other events both onsite and offsite. This also extends to supporting external events SCB is managing or attending, and leadership team events both globally and regionally.
- Ensure the smooth running of the Cash Product team, including (but not limited to) invoicing, leave calendar, DOIs and regular governance checks, and supporting other members of the team as required.
- Flexibility may be required depending on which senior leader may need supporting beyond the TB UK Head.
Skills and Experience
- Outlook and Diary Management.
- Advanced knowledge of Microsoft Suite (PowerPoint, Word, Excel, Teams).
- Event Management & budgeting.
- Invoices, expenses and accounts payable.
- Good understanding of the Bank’s systems and adherence to the Policies & Procedures (e.g. Travel & Expense, Gift & Entertainment register, eProcurement, SRM, Peoplesoft).
- Excellent planning and organisational skills.
- Ability to prioritise, manage deadlines and work in a fast-paced environment, remaining calm under pressure and professional at all times.
- Demonstrate high levels of confidentiality, integrity, initiative, flexibility and adaptability.
- A strong team player; ability to work well with people at all levels from different cultures.
- Good communication skills: ability to deal with verbal and written enquiries effectively.
- Ability to work independently with minimal guidance whenever necessary.
- Flexibility to work outside normal business hours if required.
