Job Description: 

Job Summary

Support the Financial Markets (FM) Head in administrative activities (calendar management and travel arrangements), Dealing Room logistics coordination, Vendor/Expense management and other non-licensed business support activities, as delegated by the FM Head.

Key Responsibilities

Strategy

  • Awareness and understanding of the Group's business strategy and model appropriate to the role.

  • Awareness and understanding of the wider business, economic and market environment in which the Group operates.

 

Processes

  • Responsible in supporting the FM Head in managing schedule, travel arrangements and processing related travel expenses. May be delegated for similar activities of other FM Staff.
  • Accountable in timely payment of invoices and adherence to governance requirements as per the Group’s Vendor Management Policy
  • Responsible in executing owned items in Joiner and Leaver checklist before the onboarding date and within the allowable period of regulators, respectively. All must be completed on a timely basis to minimize operational, fraud and regulatory risks.
  • Responsible for internal logistics coordination in the Dealing Room: Door access for FM Staff and visitors, desk requests, office supplies and other ad hoc requests.
  • Responsible in organising team onsites / offsites, client events, and social events, including the booking of venues, catering, tracking attendances, etc.
  • Accountable in ensuring any important electronic / paper documents are properly filed / archived in a systematic way.
  • Responsible in the maintenance of Business Continuity Plan and coordinating test exercises with the FM team.
  • Responsible in the compliance to annual individual and bank license renewal with the Securities and Exchange Commission, in close coordination with the Compliance team.
  • Responsible in ensuring Power of Attorneys (POAs) and signing authorities are kept updated, with original notarized copy easily accessible during regulators’ requests.
