JOB SUMMARY

To handle all staff functions relating to settlement of trades.

RESPONSIBILITIES

Strategy
•       Ensure compliance to DOI and ensure to update DOI timely / prior to implementation of change.
•       Work with the team to contribute in the improvement of customer service standards.

Business

•       Timely escalation of client complaints within TAT.
•       Ensures that all service levels and productivity standards of the Bank are met.

Processes

Pre-Settlement                
1 Sorts / arranges new trade instructions and other outstanding trades of custody accounts            
    Sorts trade instructions by value date            
    Urgently makes a follow-up on outstanding failed trades            
2 Pre-matches trade instructions received with various counterparties immediately upon receipt thereof (usually done at T+2) of custody accounts            
    Informs clients of missing instructions via telephone, fax or SWIFT            
    Ascertains that Funding Staff is informed of new FX instructions            
3 Responsible for enquiry on security holdings (delivery)            
    Checks sufficiency of holdings via SECCURE            
    Prints custody position for each trade to evidence sufficiency of delivery            
4 In-charge of PDTC interface of transactions value tomorrow            
5 Manual Affirmation of trades in SECCURE            
6 Coordinates with the Settlement & Funding tream on any late instructions or failing trades that will suddenly settle.            

Settlement                
7    In-charge of dispatch / release of Delivery/Receipt trade documents and ensures:            
    MC is paid out to counterparty for receipt transaction              
    Receipt of MC debit authority from counterparty for delivery transaction             
    Receipt of Buy / Sell Invoice for against payment transactions.            
    Receipt BSRD (for receipt trades) / delivery BSRD (for sell trades) for free of payment transactions.            
Post Settlement (End-of Day)                
8    In-charge of Daily failed trade advice to clients            
9    SWIFT MT548 advice for unsettled trades            
10    Problem notification via SWIFT MT548 / MT599 and via telephone or fax, when necessary.        
11    Prepares internal, regulatory & clients' reports; e.g. CTR, Failed Trades, Liquidity Reports, Projected Balance, Settled Trades, AML, etc.            

People & Talent 
•       Ensure processing of tasks identified in the cross-training and relief arrangement for Custody Ops.
•       Lead through example and build the appropriate culture and values.  Set appropriate tone and expectations from the team and work in collaboration with risk and control partners.

Risk Management

•       Promptly report OR issues and losses to Custody Ops Head and BRM.
•       Ensure prompt implementation and resolution of identified issues.  
•       To adhere to the agreed KCSA/CST plans and approach.
•       To maintain proper record keeping on all KCSA/CST related activities.
•       Ensure compliance to records management policy and observe systematic filing of records.
•       Contribute to the effectiveness of the department’s BCP, actively participate in the BCP testing providing timely feedback on BCP matters, make themselves available during contingency situations. Should be fully conversant and knowledgeable of the most updated BCP and keeps a copy of the departments call tree readily accessible at his/her place of residence.

•       Ensure practices within the unit comply with all internal policies, regulatory requirements compliance procedure and processes and local statutes.
•       Ensure that appropriate local procedures and internal controls that interpret the Group Policy and Standards and the local law and regulations of Money Laundering Prevention are documented, implemented, maintained and monitored.
•       Ensure compliance with Bank’s policy including but not limited to Group and Local Code of Conduct, Health and Safety, Diversity and Inclusion and escalate to management any policy breaches for appropriate decision/handling.

Other Responsibilities
Embed Here for good and Group’s brand and values in Philippines Custody Operations; Perform other responsibilities assigned under Group, Country, Business or Functional policies and procedures; Multiple functions (double hats); 

•    Performs backup/relief functions as defined in Operations Backup/Relief Plan.            
•    Assists the FX & Funding team in their daily activities during peak season and critical cut off.            
•    Ensures all activities defined in the Critical Task Checklist approved by the Unit Head are completed and any exception is escalated on a timely manner.            
•    Participates in projects assigned and initiatives designed to improve the quality of systems and operations            
•    Participates in developing automation programs to improve workflow and reduce cost.            
•    Assists in ensuring that practices within the unit comply with risk and compliance procedures and processes, local statutes and regulatory requirements.            
•    Extends direct support in achieving satisfactory or higher audit rating from external, internal auditors and regulatory bodies.            
•    Adheres to Securities Services and Trust  Policies and Procedures.            
•    Reponsible for reporting breaches to  immediate supervisors or compliance officers if required or by circumstance, report the breach to the Operations Head.            
•    Participates, contributes and assists in the following activities: enhancement of existing procedurs relating to manual and automated working environment; implementation of improved ways initiated by the unit; bankwide projects such as norms and values formation, community development, charity work etc., planning sessions to achieve overall efficiency and direction for the entire department.            
•    Performs other duties as may be directed from time to time which will not compromise segregation of duties.
