Job Summary
A highly skilled and experienced operation staff in managing Wealth Solution related operations work, with deep knowledge and experience in managing fund operations, structured deposits and other WS related operations work relating to financial derivative products. This role requires a responsible and detail-oriented professional with experience in operational ops project management, supporting business strategy development and effectively managing operational risks and controls in WS operations team.
• Oversee and manage the daily operations of Wealth Solutions, ensuring efficiency and compliance with internal and external requirements.
• Lead and support the operations excellence to drive process efficiency and effectiveness through digitization, automation and process improvement etc
• Develop and implement operational strategies with real outcome that align with Group and business objectives and growth plans.
• Mange and mitigate operational risks associated with Wealth Solutions.
• Collaborate with cross-functional teams to support the development and execution of business strategies.
• Ensure all operational processes are optimized for performance and scalability.
• Provide necessary support to LM and team members, advocating a culture of excellence and continuous improvement mindset and behaviour.
• Stay abreast of industry trends and regulatory changes affecting daily operations.
Key Responsibilities
Strategy
• Support Line Manager to deliver business strategy and outcomes on standard metrics/scorecard but no compromising risk control and governance.
• Familiarize the WS business risk control frameworks and be responsible for outcomes against WS ops entire team objectives to be achieved.
• Support Line Manager develop and sustain a compliance culture by working with country stakeholders, product/policies/process journey teams in WS ops function to design, maintain and implement end-to-end product related policies and processes to adhere to internal and external requirements.
• Support Line Manager to deliver business strategy and outcomes on standard metrics/scorecard but no compromising risk control and governance.
• Support product team in overseeing system/digital initiatives and system/platform change management across all products regularly and consistently to ensure flawless execution and compliance.
• Able to represent WS ops function in engaging key stakeholders including 2nd and 3rd lines and within the broader WRB business to ensure alignment across governance/control standard in term of project delivery and product related incident management (system or non-system)
• Provide cross team support to develop and sustain a product sales compliance culture by contributing and sharing ideas, views and taking necessary action if needs.
• Support LM in Ops Data Architecture Management and data quality management within WSO to meet country and group data governance standard.
• Ensure JO targets and operations service standards are achieved.
Processes
• Drive execution compliance, effectiveness of control design in line with internal and external requirement as well as effectiveness in risk management associated to WSO.
• Design, maintain and implement the end-to-end WSO related policies and processes to ensure the process, polices, and standards in line with internal and external requirements. Ensure all WSO related documentations and change delivery (system or non-system) are complied with internal and external requirements. And able to proactively improve and simplify WSO owned product policies and process for efficiency and effectiveness at the best efforts to achieve better client experience without compromising risk governance.
• Identify, assess and mitigate control gaps, design defects in processes, execution issues by closely working with 2nd line, risk partners, WS BRM and WS risk governance team to ensure all gaps/issues etc are solved in a timely and aligned manner.
• Account for identifying new, thematic, and developing risk associated to WSO and shall take immediate action to mitigate the identified issues/risks by working with related parties and track the issue resolution until closure, able to leverage good practice across the markets in GCNA and Group to simply the process and ensure flawless execution and compliance.
• Provide ad hoc and refreshment trainings to front-liner/related counterparties and build lesson learnt cases to uplift the risk awareness for front-liner in executing laid down procedure, group standard/policies/procedures, local regulatory requirements.
• Report and monitor sales and service processes to ensure the consistency control design in both on-line and off-line channel, and fine tune and redefine service level agreement to be performed by third party/service providers if available in line with Group standard and local regulations.
Risk Management
• Support LM for the implementation and embedding of the Enterprise Risk Management Framework linked to CN WS products to ensure appropriate focus on as risk appetite. Ensure that identified risks are subject to appropriate remedial action, escalated to the relevant risk forum if required and followed through to closure. Engage with key stakeholders to ensure alignment across governance / control / conduct agendas for WSO more broadly.
• Be responsible for ensuring compliance with the highest standards of regulatory conduct and compliance standards as defined by internal and external requirements as well as maintain up a strong and appropriate control environment.
• By work with related risk partner, WS Risk Governance Team in WS ops team, WS product team to be responsible for ensuring execution of the first line self-assessment model, report on and analyse the root cause of any risk matters associated to WS product policies and processes. Track and follow through management actions to mitigate identified risks/incidents/errors etc
• Supervise outsourcing activities if requires and ensure good risk control. Through participating service review meeting, support team leader to ensure a good performance management result according service agreement established and highlight key concern/issue during the discussion and explore opportunities for improvement.
• Assist all inspections including but not limited to internal audit review, external regulatory/external audit review etc. Provide full support during audit period and make sure the good quality of data/material provided.
• Strong risk awareness and understanding of all internal & external requirement and able to timely & accurately roll out all requirement outlined, prioritize regulatory requests for providing or reply etc.
Governance
• Ensure Satisfactory Audit Outcomes by working with WS process owners and related stakeholders.
• Ensure compliance with the highest standards of regulatory conduct and compliance standards as defined by internal and external requirements as well as ensure that identified risks are subject to appropriate remedial action, escalated to the relevant senior committee if required and followed through to closure by working with WS process owners, WRB BRM and related stakeholders
• Engage with key stakeholders to ensure alignment across governance / control / conduct agendas for WS more broadly.
• Taking responsibility for data management framework implementation quality in function by working with WS process owners to manages data quality improvement project and new data elements collection from product/ other biz & regulatory requirements, and accountable for functional data leverage in business revenue driven/ risk monitoring/ processing automation.
• Identify key issues from day-to-day routine work management, be responsible for risk issue/incident follow through and report as per country/business escalation matrix; review and solve risk items reported.
• Perform regular review and comply with Bank compliance requirement; ensure full compliance with regulations.
• Implement control and monitoring to ensure effective monitoring, sales assurance surveillance.
Regulatory & Business Conduct

• Establish and implement a stable and reliable world class operating sales platform and control environment by working with WS process owners, WRB BRM and related stakeholders.
• By working with WS process owners and related stakeholders, oversee Implementation of risk management, working with WRB BRM/related risk function team to guide business risk management to ensure full implementation of ORF across the business unit. Ensure execution of the first line self-assessment model, report on and analyse operational risks profile. Track and follow through management actions to mitigate identified operational risks exposure.
• Actively manage and remediate any breaches and deviations from global / local standards by working with WS process owners, WRB BRM and related stakeholders
• Ensure full reporting of losses, risk events, policy deviations, KCST & KRI exception, and engage appropriate stakeholders on timely remedial actions; escalate key risk situations that pose significant risks by working with WS process owners, WRB BRM and related stakeholders.
• Identify new, thematic, and developing risks; provide operational risk advice through various reviews including but not limited to accountability reviews, Lessons Learnt reviews, Process / Control reviews, Peer review) at the unit level by working with WS process owners, WRB BRM and related stakeholders.
• Proactively identify key risks through Country Conduct Plan and Conduct Heatmap where application by working with related conduct team, WS/related process owner.
