Job Summary

We are seeking an individual to join our team at Standard Chartered Bank in New York. The successful candidate will be working directly with the ED, Corp Affairs and Brand & Mktg,US & Americas as well as other team members to maximize the executive’s efficiency by managing time, communication and logistical needs

The role will directly support the Corporate Affairs, Brand & Marketing, Americas (CABM) team by providing administrative, operational and business planning and business continuity duties, including but not limited to handling confidential/sensitive matters and materials, proactively anticipating and managing work requirements, acting as a professional representative of the CABM functions with all internal and external stakeholders, prioritizing and sharing information between teams and stakeholders, and supporting CABM in achieving individual and team objectives. This role will also play a key role in managing the Governance responsibilities of the CABM Americas function.

Key Responsibilities

Experience with risk/governance controls is critical.

  • Compare risk data with the organization’s risk appetite
  • Communicate key threats
  • Evaluate company policies and risk potential
  • Risk Identification and Assessment: Assist in identifying and evaluating operational, financial or strategic risks
  • Continually reassess risks according to changing conditions
  • Address any weaknesses and make appropriate changes.

Risk/Governance Strategy

  • Serve as the center of excellence for the US-based CABM team on TPRM (Third Party Risk Management) processes and requirements
  • Act as key contact point for governance issues related to CABM workstreams, including attending scheduled governance calls
  • Provide training on and uphold standards of CABM policies, governance and controls
  • Compliance & Governance – ensure company policies adhere to legal and regulatory 

Day-to-Day Tasks

ADMIN Responsibilities

  •  Provide full administrative support to Head of CABM, Americas and CABM Americas team 
  • Manage all bank systems – e.g. ePro, SCBuy, FCS, M7, vendor requests, invoices and payments 
  • Manage team calendars, organize meetings and teleconferences 
  • Manage team travel and accommodation requirements 
  • Manage team expenses and reconciliations 
  • Assist with necessary team reporting, production of stakeholder reports, presentations 
  • Maintain all departmental supplies, materials, collateral, e.g. banners, annual reports, stationery 
  • Work with supply chain management and legal and compliance teams to effectively manage vendors, including sponsorship and donation agreements.  
  • Identify areas for process improvement and recommend ways to increase functional effectiveness and improve operational efficiencies 
  • Track the travel and expense budget line and ensure team complies with the relevant policy

Invoice management 

  • Support the wider CABM team with raising and processing invoices, ensuring suppliers are paid on time and kept up-to-date with any relevant issues or updates
  • Process of invoices to be submitted to accounts payable and maintain a record of all invoices and match / track this against the overall budget
  • Submit recharge requests to finance when necessary

Additional Responsibilities

Vendor management 

  • Serve as contract owner for key agency relationships across CABM
  • Complete all necessary onboarding processes for CABM vendors, ensuring that the correct risk assessments have been made in accordance with vendor purpose
  • Complete annual vendor performance reviews, or work closely with CABM team members to do this
  • Raise required engagement requests for all new team activity
  • Act as the key point of contact for vendor management colleagues

Key Skills and Qualifications

  • Dynamic understanding of front office, regulatory, risk, compliance and shared service operations along with associated risk elements and controls.
  • Experience 2-5+ years in risk management, compliance
  • Technical Skills: Proficiency in MS Office (Excel, Powerpoint) and familiarity with Governance, Risk and Compliance Tools
  • Exceptional organizational and planning skills
  • Strong written and verbal communication skills
  • Detail Oriented – Exceptional attention to detail, particularly with documentation.
  • Be trustworthy, discreet, diplomatic and display high integrity
  • Be adept at exercising good judgment
  • Be a self-starter with the ability to take the initiative and a strong desire to learn
  • Have a sense of responsibility and perseverance

Recruitment Assessments

Expected annual base pay range for the role is 80,500 USD to 110,700 USD. The final offer will be determined on an individualised basis using a number of variables, including but not limited to skill set, depth of experience and education, internal relativity, and specific work location. At Standard Chartered Bank, Base pay is only part of the total compensation package.
