Title: Team Assistant, Corporate Client Coverage team

Job Summary
We are looking for a dedicated Team Assistant with a disciplined professional approach and excellent stakeholder management skills to join our Corporate and Investment (CIB) Client Coverage team in Paris. In this versatile role, you will be responsible for comprehensive administrative and organizational/ business support to the our Client Coverage (CC) teams, with a specific focus on the teams in charge of International Corporates clients.
Key Responsibilities
Team Assistant duties will include:
• Personal Assistant support to Client Coverage (CC) senior managers including diary and travel management, taxi booking, handling telephone calls, liaising with customers to set up appointments, management of contacts folder and mailing list, preparation and submission of Travel & Expenses claims, general correspondence (letters, memos, e-mails etc.), maintenance of files and archives, raising of RMS
• Diary management for the wider CC team, via Outlook to include external and internal meetings, involving coordination and liaison with customers and staff
• Organizing travel itineraries for team members, including meeting coordination, booking flights and airport transfer, booking of hotel rooms and other facilities, handling visas applications and invitation letters
• Arranging both in-house and external meetings for customers
• Managing CC team's contacts folders and mailing lists
• Providing support to CC team in relation to network roadshows and dedicated client events
• Providing support to Europe Communication team in relation to client events held in Paris
• Beyond the CC teams, providing support any internal and client events lead at or by the Paris branch
Other administrative duties will include:
• Vendor management support
• Managing payment of invoices, cross-border recharges, and corporate credit cards attribution
• Maintaining staff absence tracker and managing staff access requests to the office
• Collaboration on office management tasks in close cooperation with local office manager and external providers
• Participating in ad hoc projects and initiatives
• Acting as backup to CEO's Personal Assistant and to the Office Manager in their absence
Skills and Experience
• Experience in the administrative area or in Team Assistant/ Administrative Assistant role of a comparable seniority, ideally in the financial institution
• Excellent communication, organizational and planning skills
• Friendly and professional demeanour as well as a service-oriented way of working
• Ability to work under pressure and manage multiple tasks simultaneously
• Ability to work in a team and collaborate effectively with different stakeholders
• Proactiveness and ability to work autonomously on own initiative
• Ability to prioritize and challenge where necessary
• Discretion and trustworthiness in dealing with confidential information
Qualifications
• University degree or comparable qualification
• Confident handling of MS Office applications
• Fluency in written and spoken English and French
