Title: Executive Secretary to Head of Coverage, CIB China

Job Summary
• Provide administrative support to Head, Client Coverage, CIB China (“line manager”) and ensure smooth running of the office management.
• Plan and coordinate line manager’s schedule and business trips.
• Assist to plan and coordinate Group Seniors’ China visits and colleagues in Client Coverage CIB, China.
• Work as part of head office to ensure smooth running of team meetings, ad-hoc offsites/ meetings, and other administrative works.
Business
• Provide general administrative support to line manager including mail management, filing, expense claims, stationery orders, gift arrangement etc.
• Day-to-day management of line manager’s schedule arrange meetings and prepare meeting materials for the line manager.
• Prepare itineraries and make travel arrangements for line manager and Group Executives’ visits, where required.
• Act as part of head office to ensure smooth running of team meetings, ad-hoc offsites/ meetings, and other administrative works. Collect relevant meeting materials, prepare meeting minutes and track follow up actions.
• Assist with budgeting and financial analysis for Head Office.
• Manage line manager’s approval and signature/e-signature on key documents with internal departments.
• Build and update line manager’s contact database to capture relevant information on important contacts.
• Maintain an up-to-date gift distribution list for the visits made by the Group Executives and line manager.
• Arrange and support key activities and projects that would help line manager drive regional and business objectives.
• Perform any other tasks assigned by line manager.

Other Responsibilities
- Embed Here for good and Group’s brand and values in Coverage, CIB China; Perform other responsibilities assigned under Group, Country, Business or Functional policies and procedures.
- Understand, acknowledge, and comply with the requirements on individual accountabilities and responsibilities of the job set out in applicable local laws and regulations as well as SCB internal policies.

Qualifications
- University degree, preferable in finance and economics.
- Sufficient trainings on skills including office software, communication, problem solving, time management etc.
- Strong verbal and written communication skills in both English and Chinese.
