Job Summary

An Executive Assistant is a highly organized, resourceful, and professional individual who plays a vital role in supporting the productivity and effectiveness of an executive and the overall organization. 

Responsibilities

While the role of an EA can be varied, and we are looking for someone who embraces challenges, these are the core responsibilities of the role. 

Calendar Management:
•    Scheduling appointments (virtual or office-based, including room booking), meetings, and events, ensuring efficient use of the executive's time – and ensuring sufficient space in the calendar to allow briefing, preparation, and working time.
•    Acting as a point of contact for internal and external stakeholders.

Organisation support
•    Prepare report binders and maintain files.
•    Raise e-procurement for payment made to invoices and tracking of payment status
•    Raise RMS for IT requirements, follow up and ensure closure of the requisitions
•    Prepare and submit expense claims

Travel Arrangements:
•    Booking flights, accommodations, and transportation for business trips, creating itineraries and liaising with local PA / EA teams to ensure schedules are clear. 
•    Ensure reliable support is provided to the teams in communicating with regional and global offices and counterparts

Meeting Coordination:
•    Scheduling meetings, ensuring agendas have been set, following up on meeting material (and ensuring preparation for the meetings is managed). Where needed, should also be comfortable following up on action items and send follow up emails to large lists.
•    Admin support for department events and matters e.g., Organize team meetings/offsites, calls (including multi stakeholder calls) and other conferences/workshops, including venue bookings, raising of POs, travel arrangements of teams, etc.
•    File and document management

•    EA to the Global Head of Transaction Banking
•    Other members of the Transaction Banking management team and their EAs

Our Ideal Candidate

•    10 years + EA / PA experience
•    Exceptional Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and maintain a structured workflow. 
•    Strong Communication Skills: Excellent written and verbal communication skills for interacting with various stakeholders. 
•    Time Management: Ability to manage time effectively, prioritize tasks, and meet deadlines. 
•    Attention to Detail: Meticulous attention to detail in all aspects of work, including document preparation and record-keeping. 
•    Discretion and Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality. 
•    Problem-Solving Skills: Ability to identify and resolve administrative issues independently. 
•    Proficiency in Office Software: Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
