Job Description: 

Job Summary

As EA to CIB Finance Exco members, you are representing their office and the function both internally and externally. To do this effectively you will provide business support, as well as secretarial services, coordination and operational support to the business. The role holder ensures a smooth and timely running of the office and delivery of quality service to the benefit of the Bank and clients, both external and internal. In addition, you will collaborate closely with the CIB MT EAs, to ensure a cohesive way of working across the functional domains.

Key Responsibilities

This is not the typical Executive Assistant role. It’s an evolving role based on current environment so the ability to adapt will be key, including but not limited to:

•    An excellent assistant, good attitude, and a sense of ownership
•    A team player with strong collaboration skills.
•    Pace and quality of execution needs to align with business priorities and expectations
•    Attentive, highly detailed oriented, and able to multi-task with speed and efficiency.
•    Responding in a timely manner, and clear communication is essential.

 

Diary Management
•    Effective and timely diary management
•    Ability to clearly prioritise diary appointments and responses independently
•    Manage agendas, prepare materials and track action items for various meetings and committees
•    Support on any events and initiatives as directed by management.
•    Co-ordinate with the business planning manager/s to ensure the management receives appropriate and timely information, to more efficiently allocate his time to matters of importance.
•    Assist in the preparation and collation of information for reports to various committees and senior management and other stakeholders.

 

 

Travel Management
•    Arrange flights & hotels based on timings and within the Travel Policy and thresholds.
•    Review itineraries and ensure requisite pre reading / documentation are in place
•    Process travel visas, if required

 

Financial Performance
•    Approve and review T&E submissions on behalf of management. To ensure that expenses are in line with the T&E policy.
•    Review monthly cost report and ensure consistency of travel and expenses bookings

People and Talent
•    Handle HR matters: track leave records, year end and employee related issues
•    Support management to organize team engagement events, CSR activities and team meetings/conferences/workshops/offsite, when needed
•    Support the Department with My Voice, performance check-in related Impact Planning and execution / follow-up
•    Provide support to deliver an effective engagement and communication framework for the team

 

Others
•    Maintain department Distribution Lists
•    Provide sick / holiday cover for other CIB Finance EAs
•    Build trust with internal and external stakeholders enabling positive working relationships to exceed expectations.

 

Governance
•    Demonstrate an awareness and understanding of the regulatory framework in which the Group operates, and the regulatory requirements and expectations relevant to the role.
•    Deliver ‘effective governance; capability to challenge colleagues effectively; and willingness to work in an open and cooperative manner with all.
•    Drive the Functions and Talent communication agenda to ensure people are kept up to date with developments and 
     improvements across the function, focusing on an integrated vs product led approach, spotting opportunities for co-creation and embedding ways to listen to feedback as well as provide updates.

Regulatory & Business conduct
•    Display exemplary conduct and live by the Group’s Values and Code of Conduct.
•    Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across 
     Standard Chartered Bank. This includes understanding and ensuring compliance with, in letter and spirit, all applicable laws, regulations, guidelines and the Group Code of Conduct.
•    Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.

Our Ideal Candidate

  • 10+ years of exp supporting C-suite executives at the group level.
  • This experience should span both business and product functions within Corporate & Investment Banking as well as Finance, demonstrating a well-rounded understanding of the organisation’s priorities and executive expectation.
  • The candidate must demonstrate exceptional organisational, stakeholder and calendar management capabilities, including the ability to manage multiple executive calendars, prioritising competing demands and agility to manage last-minute scheduling changes driven by evolving conditions.
  • With proven track record in handling high-volume scheduling, aligning with multiple senior stakeholders and ensuring seamless execution of meetings and engagement.
  • Advanced proficiency in Microsoft Outlook, particularly in calendar coordination, is essential. Strong working knowledge of the broader Microsoft Office application (eg: Word, Excel, Teams) is required to support day-to-day operations.
  • Having the ability to operate with a high degree of confidentiality, sound judgement and professionalism when supporting senior executives is of utmost importance.
