Job Summary
To provide full administrative support to the Global Head Controllership, Finance Risk and Governance, to ensure the smooth running of the office and delivery of a quality service for the benefit of the bands and clients, both external and internal.
Key Responsibilities
• Provide full administrative support to Global Head Controllership, Finance Risk and Governance (travel/meeting/diary arrangement and tracking)
• Coordinate business activities and achieve the required standards for volumes of work and meeting deadlines
• Support any Ad Hoc tasks for Global Head Controllership, Finance Risk and Governance
• Act as primary liaison contact point for the Global Head Controllership, Finance Risk and Governance
• Full & active calendar and meeting management - not limited to drafting responses on behalf, scheduling appointments, setting reminders
• Headcount tracking and review of costs
• Help with preparation and design of power points for internal meetings
• Provide cover and support during UK time zone when Bal is in UK
• Extensively manage e-mails including checking incoming/outgoing emails and following up as necessary.
• Maintain & update Travel planner to coordinate overseas trips
• Coordinate detailed itineraries for overseas visits
• Respond accurately to internal and external information requests.
• Administration of the Global Head Controllership, Finance Risk and Governance using `Success Factors, the Bank's HR self-service software including holidays, sickness, team movement etc.
• Preparation of claims for the re-imbursement of business expenses and invoice administration.
• On-line purchasing and ordering administration using the Bank's bespoke software (eProcurement).
• Approvals for IT, HR, Finance, T&E, G&E, GDAM etc
• Ensure confidentiality at all times as the role will be privy to very sensitive information
• Maintain and update the Management Control file and store information such as Organisation charts, Job descriptions of direct reports, Job objectives, Delegation of authority.
• Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. This includes understanding and ensuring compliance with, in letter and spirit, all applicable laws, regulations, guidelines and the Group Code of Conduct.

Our Ideal Candidate
• 18+ years of Experience in similar role supporting senior managers and managing directors
• Good working knowledge of Outlook, Word, Excel and PowerPoint.
• Comfortable dealing multi-cultural and diverse teams
• Responsive and able to pay meticulous attention to detail (particularly in documents).
• Reliable, discreet, and diplomatic.
• A flexible approach to work
• A team player who demonstrates good interpersonal skills with ability to prioritize workload and manage conflicting priorities.
