Job Summary

  • The candidate will be developed into Record Keeping subject matter expert in the core WRB Data Management team.
    1. Provide subject matter expertise (SME) guidance to the Business and Operational teams – process owners, business risk managers on Record Keeping
    2. Monitor relevant legislative and regulatory changes and advise on associated impact to the Group’s business and operational functions
    3. Actively engage in and contribute to the relevant workstreams of the Record Keeping remediation program
    4. Review, assess and advise on Data Risk assessment and Record Keeping incidents;
    5. Guide Business and assist in review of Record Catalogues;
    6. Draft and maintain additional, documentation such as Global Process Instructions, Department Operating Instructions, FAQs, Record Keeping-related communications and more. 
  • The candidate will be the SME in WRB Data Management team to assist the Global Head, Data Management in executing his duties as Global Contract Owner of the physical record archival services. The candidate will be subject matter expert and specialise in:
    1. Contract negotiation and ensuring adherence to laws and regulations
    2. Manage vendor relationship, procurement processes and contract compliance
    3. Cost management
    4. Audit issues monitoring and trackin
  • In the first 2 years this role is paid for by the FFG program after which it will transfer to BAU. The candidate will work with the archival vendors in 15 countries to move the 1 million boxes (bank wide) from the current vendors to the 3 identified vendors.
  • As part of the transition work in the first 2 years, the candidate will:
    1. manage the project cost and timelines
    2. work with existing and new vendors on a plan to move the boxes
    3. work with country SCM and box owners in the countries to sort out the cost charging model in BAU
    4. align the existing RACI to the new normalised RACI as part of standardisation which includes service ownership in the countries
    5. track cost-benefit and provide regular status updates to FFG and key stakeholders

  • The candidate will work on the day 2 activities which cover 44 countries (bank wide) and 3 vendors. They include:
    • Renew expiring Control Assessment in ER
      1. Continued Compliance Assessment,
      2. Business Resilience - OCIR Assessment,
      3. Tax Management,
      4. Group Compliance Assessment,
      5. Third Party Data & Privacy Assessment,
      6. Business Resilience Assessment,
      7. Third Party Security Assessment,
      8. Periodic Reviews & Materiality Assessment,
      9. Tax Evasion Risk Assessment
    • Update country Global Outsourcing Inventory
    • Annual periodic risk review - where necessary (local outsourcing requirements)
    • Archival facility inspection
    • Vendor Exit Plan Review
    • Service Review Meeting
    • Update SPM in SCBuy
    • Raise purchase orders in ePro
    • Make payments to the vendors
    • Manage document retrieval requests
    • Manage document destruction requests
    • Handle country issues on record archival

Role Responsibilities

  • Support SC’s strategic data management, which interprets regulatory directives, group policies and standards and applies compliant practices that protect the Bank’s assets/reputatio
  • Provide vendor management, project management and business analysis
  • Manage the financials, deliverables, interacting with technology and operation teams, providing status updates to the countries, etc.
  • Manage end-to-end communications with the user community & stakeholders.
  • Actively participate in any audit related to data within WRB
  • Ensure processes are streamlined and any control related issues are flagged timely to process owners and Operation Risk
  • Manage stakeholders efficiently and engage them appropriately from a project support standpoint.
  • Manage Data-related risks (including (but not limited to) Data Quality, Data Privacy, Data Sovereignty and Record Keeping) within WRB Business
  • Ensure robust project governance of the project at a country, regional and global level

Our Ideal Candidate

Skills & Experience 

  • 8+ years of working experience in the Finance domain, Risk and/or Regulatory reporting space
  • Deep knowledge of the strategic business drivers and operational process requirements
  • Part of large development or implementation project / consulting organizations supporting complex data management programs in the finance & regulatory reporting space.
  • Experience in Project management and project financials
  • Experience in running Projects for Multi-Country Rollouts and good grasp of Agile and Waterfall Project Management methodologies from a business perspective.
  • Project management/Business Analysis experience in the data management area. Must be able to enforce deadlines in a fast-paced, deadline driven environment.
  • Broad experience with data requirements, data modelling concepts, data integration, master data management, metadata management, enterprise data warehousing (EDW) and business intelligence/analytics, tools, protocols, and practices
  • Able to understand and interpret logical and physical data models.
  • Attention to detail, good analytical and problem-solving skills and critical thinking are essential.
  • Possess leadership capabilities and is able to lead a focused task force.
  • Cultural sensitivity and awareness to work with a range of people from diverse background and geographies.
  • Good command of English and possess good interpersonal and communication skills.
  • Vendor management is a plus

Qualification

  • Bachelor’s degree or higher - preferably in Accounting, Statistics, and Computer Science or highly relevant equivalent experience is required.
