Job Summary
• The Product Owner – CLMT Document Management is accountable for establishing and delivering a fit for purpose Document Management capability across the Client Lifecycle Management (CLM) domain.
• The Product Owner defines and drives the product vision, roadmap, and backlog for Document Management, including document taxonomy, inbound and outbound document handling, automated classification, data extraction, document storage, and integration of document derived data into CLM workflows. The role partners closely with Technology, Architecture, Operations, Legal, Compliance, Financial Crime Risk, and other stakeholders to ensure the capability meets regulatory, operational, and business requirements across markets.
Key Responsibilities
Document Management Strategy & Vision
• Own and articulate the product vision and roadmap for the CLM Document Management capability, aligned to the CLM future state, regulatory obligations, and enterprise architecture direction.
• Lead the transition from manual, document centric processes to a structured, data enabled , and automated document management model.
• Act as the single point of accountability for the business value delivered through Document Management, including efficiency gains, risk reduction, improved data quality, and enhanced client experience.
Document Taxonomy & Classification
• Establish and maintain a clear, consistent document taxonomy for all CLM r elated documents, covering inbound, internal, and outbound document types across the full CLM lifecycle.
• Ensure the taxonomy supports regulatory, operational, and reporting needs, including auditability, traceability, and retention requirements.
• Own the rules, standards, and governance for document classification and metadata, ensuring consistent application across markets and processes.
• Ensure inbound documents are correctly categorised in line with the defined taxonomy, reducing reliance on manual intervention over time.
Automation & Intelligent Document Processing
• Drive the implementation of a solution that can automatically suggest or determine document categorisation, leveraging technology capabilities such as rules based logic and intelligent automation.
• Own the requirements and prioritisation for automated extraction of structured data from client documents, reducing manual data capture and re keying.
• Ensure extracted data is accurate, traceable back to source documents, and fit for use in downstream CLM processes.
Data & Platform Integration
• Work closely with Technology and Architecture teams to define and deliver a solution for the storage of documents and extracted data, ensuring alignment with enterprise content, data, and security standards.
• Ensure structured data captured from documents has persisted, governed, and accessible alongside the documents themselves.
• Ensure document derived data is integrated into CLM case processing, workflows, and decisioning, enabling straight through processing where possible.
• Identify and manage dependencies with upstream and downstream systems across the CLM ecosystem.
Outbound Document Management
• Establish and own a library of required outbound documents across the CLM lifecycle, including:
o Standard templates
o Clause libraries
o Jurisdictional and regulatory variations
• Define and maintain the business logic that determines which documents are generated, sent, and stored, and when, as part of onboarding, periodic review, and other CLM events.
• Ensure outbound document generation is consistent, controlled, and auditable.
Agile Delivery & Backlog Management
• Own and continuously refine the Product Backlog for Document Management, ensuring items are clearly defined, prioritised, and aligned to the roadmap.
• Translate regulatory, business, and operational requirements into business initiatives, epics, features, and user stories.
• Collaborate closely with delivery squads during refinement, sprint planning, and delivery to provide timely clarification and prioritisation.
• Ensure the team always has a sufficient pipeline of well prepared work aligned to agreed objectives.
Stakeholder Engagement
• Engage proactively with CCIB business stakeholders, CLM Operations, Technology, Architecture, Legal, Compliance, Financial Crime Risk, Operational Risk, and Cyber Security.
• Balance usability, automation, and efficiency with regulatory and risk requirements.
• Communicate complex concepts, trade offs, and delivery progress clearly to both technical and non technical stakeholders, including senior management.
Risk Management & Governance
• Ensure proactive identification and management of process change, operational, technology, and delivery risks related to Document Management.
• Ensure Document Management solutions meet record keeping, data privacy, evidencing, and audit requirements.
• Ensure all artefacts and assurance deliverables comply with required Group standards and policies (e.g. nWOWS, CGP).
• Support governance forums, refinement sessions, and monthly and quarterly performance reviews.

Our Ideal Candidate
• 10+ years’ experience as a Business Analyst is required
• 2+ years’ experience as a Product Owner is required
• Must have worked on global enterprise scale application developments and implementations, preferably in an Agile environment.
• Must have – Hands on experience as a Product Owner in writing business initiatives, business cases, epics, features, user stories and working with scrum team
• Good working knowledge of international banking; experience in Wholesale Banking, especially in the client on-boarding and/or due diligence (KYC), Tax (FATCA, CRS), Regulations (MIFID, EMIR, Dodd Frank) or applicable product knowledge is highly preferable
• Certification in Product Ownership, Business Analysis, CBAP/ Agile methodology / Scrum master is added advantage
• Outstanding presentation skills and highly effective verbal and written English communication skills
• Ability to effectively communicate business priorities, complex concepts and models and business information to a technical and non-technical audience at analyst and senior management level
• Demonstrates creative thinking by generating new ideas and concepts and identifying new ways of doing things.
• Strong problem-solving skills to perform root cause analysis
• Ability to quickly absorb and learn new systems, methodologies and types of information.
• Ability to facilitate workshops, discussions and meetings with stakeholders at all levels
• Show leadership and drive change within the organization by building consensus, obtaining stakeholder support and motivating others
• Ability to form strong working relationships with stakeholders and team members
• Capable of working independently to resolve issues and/or identify solutions
• Possesses strong negotiation and influencing skills, and ability to manage negotiations so that acceptable agreement between multiple parties is obtained.
• Proficient in tools such as Microsoft Office, Confluence, JIRA, Mural, Azure, etc.
