Job Description: 

Job Summary

•    Support Japan Country Management Team members who do not have designated assistant support 
•    Support Financial Institutions Team in CIB Client Coverage 
•    Support Corporate Affairs and Brand Marketing Team 

Key Responsibilities

Financial Institutions Team in Client Coverage (6 members)
•    Support domestic and international business travel arrangements (flight, hotels and airport pick- up) in liaison with travel agency 
•    Support and handle the incoming visitors such as itinerary preparation, logistical transportation, compliance clearing for client visits, visa application and others
•    Assist preparation of client presentation documents for client visits
•    Assist general expenses and Travel & Expense (T&E) reimbursement claims (international and domestic business trips, client meals and taxi usage) via SAP Concur System ensuring Group Policy and Procedure are observed around T&E (Travel & Expense).
•    Assist registration of Gift and Entertainment for client meals and gifts via internal system
•    Update authorized signatories for Trade Operations related memorandum
•    Process Invoice (1 invoice for team Amex Corporate Card)
•    Arrange new joiner induction and system and folder access
•    Work closely with other assistants in the office and group, clients and third party organizations to set up meetings, conference calls, Teams video conference and internal/external events.
•    Order additional or updated business cards
•    Purchase office supplies and stationeries through internal system
•    Perform Control Sampling test monthly for Foreign Bank Agency Business and quarterly incoming offshore visitors via internal system in liaison with Business Risk Management, R&C
•    Process PDF documents adding password using Kofax application
•    Update Personal Data Inventory Ledger (PDIL) annually 
•    Support project arrangements such as golf events in liaison with CABM
•    Support office renovation and phone changes 

Japan Country Management Team members without Assistant support (mainly Chief Financial Officer, Head of HR, Chief Risk Officer (CRO) & Chief Compliance Officer
•    Assist with Travel & Expense (T&E) reimbursement claim processing
•    Provide ad hoc supports as requested such as visitors schedule coordination

Corporate Affairs and Brand Marketing Team (2 members)
•    Assist seminars, golf events, staff townhall meetings and staff gathering events with logistical arrangement and food/drinks ordering. 
•    Process invoices related to various events (golfs & seminars), sales and events goods production, translations & interpreters hiring, subscription and others

Japan CEO and PA to Japan CEO
•    Assist PA to Japan CEO during annual leave and block leave period.
•    Process invoices from CEO Office via internal system (preparation of Purchase Order and invoice submission to Accounts Payable Team)
•    Assist company representative seal stamping together with CEO Office members (PA to Japan CEO and Business Planning Manager)
•    Update Tokyo Branch company registration (Tokibo) when Bank Directors change in liaison with Judicial scrivener, corporate secretariat and notarization office based in London
•    UAd hoc supports upon request.

Internal
•    Financial Institutions Team in Client Coverage (6 members)
•    Japan Country Management Team members without Assistant Support (Head of HR and Chief Risk Officer (CRO) & Chief Compliance Officer mainly with Travel & Expense claim processing
•    Corporate Affairs and Brand Marketing Team (2 members)
•    Japan CEO and PA to Japan CEO
•    PAs / Team Assistants in Japan, regional and global based

External
•    CEO and Financial Institutions clients 
•    External Associations such various British Embassy, IBA,
•    Various vendors such as hotels, travel agency, printing company, translation, interpreter dispatch agency and others

Other Responsibilities
•    Ability to organise the assigned tasks effectively and efficiently.
•    Ability to manage multiple deliverables in a timely and effective manner.
•    Ability to engage the stakeholders in a network organisation.
•    Ability to develop in depth knowledge of the organization and good networking skills.
•    High English proficiency in business context and situations. this can included important announcement.
•    Excellent interpersonal skills including the ability to quickly build and achieve constructive working relationship with senior managers.
•    Highly developed and proven communication skills, oral, written and presentation in English and Japanese.
•    Understanding of the financial industry and its culture.
•    Ability to utilize complex internal and external systems such as SAP Concur and others
•    Highly responsible for supporting teams and projects

Skills and Experience

- Proficiency in Microsoft Tools including Outlook, Excel, Word, PowerPoint, and Teams

- Native-level Japanese language skills or JLPT N1 certification

- Business-level proficiency in English

- Minimum 3 years of experience as Team Assistant or Personal Assistant
