Job Summary
The role sits within our Executive Assistant Team created 2 years ago in Poland and is part of the Global Team, diversified and expanding to provide administrative support for polish and non-polish internal C-level Stakeholders in Poland and various locations in Europe.
The role is based in GBS Warsaw which has been certified 3 times as a Great Place To Work and Company Without Barriers. We offer hybrid work model (3 days per week work from the office and 2 days work from home; working hours 9:00-17:00).

Key Responsibilities
- Mailbox/Calendar management.
- Meeting/Event management.
- Travel & Expenses management.
- Administrative activities.
- Third-party supplier and/or vendor management.
- Service management.
- Project/change management.
- Regulatory and Business Conduct.
- Undertake adhoc assignments or mini projects - project manage appropriately to ensure deliverables are as per target timeline, with regular progress updates provided to stakeholders or accountable executive.
Skills and Experience
- 2+ years relevant work experience as an Executive Assistant, Personal Assistant or Administrative Assistant.
- Experience in dealing with senior internal and external / customer stakeholders.
- Adaptability to Different Executive Styles: Ability to swiftly adapt to various management styles and preferences of different executives.
- Excellent communication and interpersonal skills.
- Creative thinking, ability to work proactively and independently.
- High attention to details.
- Advanced organisation, prioritisation and time management skills.
- Willingness to learn, share responsibilities, facilitate collaboration, and support the success of others.
- Fluent operating skills of MS Office applications (Word, Excel, Office, Outlook).
- Fluency at English (both written and verbal).
- German and/or French language skills will be an added advantage.
- Any secretarial course / certification will be an added advantage.
