Job Summary

This role is driven by the need to create an operational excellence in the people processes and provides an opportunity to bring greater efficiency in onboarding and training processes in GIA, along with streamlining the resourcing and scheduling processes.
You will work as part of the GIA People, Planning, Delivery, and Insight team under the COO group for internal audit. The person will be responsible for providing support to GIA on the onboarding, training/learning, managing the learning priorities for the function and managing conflict of interest and other people processes within the lifecycle of the employee. Data analytics, project management and coordination skills would comprise the key strengths to have for this role.
Key Responsibilities
Work with the other members of the PPDI team, manage all activities (excluding HR responsibilities) relating to GIA recruitment, on-boarding, and foundation training. Provide administrative, logistical and organisation support to our Resourcing, Audit Planning, Finance and Learning and Development processes including but not limited to:
- Organising GIAs flagship global learning Academies (Foundation and Team Leader Academies).
- Manage the GIA calendar of events to support with the coordination and communication GIA's COO has with the function.
- Track co-source, learning and Talent & Employment spend vs budget.
- Coordinate feedback surveys for the use of co-source.
- Help organise and diarise GIA wide Learning Events and Sessions.
- Help coordinate the Risk Assessment process, in particular with Conflicts of Interest.
Onboarding:
- Coordinate with HR on pre-onboarding (post offer acceptance) activities for hiring manager support – This will involve providing support and guidance to the hiring manager on the pre-onboarding/on-boarding tasks as per the relevant bank-wide and GIA checklist/tasks.
- 90 days Voyager Learning Journey: Focus on ensuring the new joiners have completed their onboarding exercise.
Understand and establish business needs:
- Liaise with the People team and business stakeholders to identify the people needs and priorities for the function.
Vendor management and finance:
- Maintain budgets and relationships with vendors and consultants.
- Work on payment processes with Finance team to ensure timely payments to the vendor parties.
Reporting and monitoring:
- Using regular HR data to monitor the recruitment, learning and scheduling processes. Ensure the monthly dashboards are created in sync with the Data analytics team. Work on the Resource Management Reports and handle various queries on the Resource Management and Scheduling.
Skills and Experience
- Proficient in MS Office, Excel in particular
- Data Analytics and Data Visualisation
- Curiosity for data and understanding of HR processes
- Effective communication
- Relationship, vendor, project and/or events management
- Coordination skills and diary management
- Contracts and documentation handling
- Basic understanding/experience of Internal Audit is preferable
- Familiarity with finance systems and controls for SOW and invoice management
